Job description

We are looking for a proactive and enthusiastic Assistant Practice Manager to join our friendly, well-supported team. In this role, you will work closely with our partners and leadership team, gaining valuable guidance and support while helping shape the smooth running of the practice. Main duties of the job

Working On-Site 5 days a week

Hours: 37.5 hours per week - Monday to Friday 8am - 4pm

  • To directly line manage, liaise and communicate with the reception supervisor and non-clinical staff to ensure the smooth day-to-day running of the practice.
  • To coordinate rota planning and session planning across both practice sites to ensure safe staffing and efficient service delivery.
  • To oversee and manage clinical and non-clinical annual leave, ensuring adequate workforce coverage at all times.
  • To liaise with patients and external organisations including ICB, NHSE, PCN, community services, hospital services and other statutory bodies.
  • To support the development, implementation and review of practice protocols and policies.

Job responsibilities
  • Line manage reception and administrative staff, includingrecruitment, induction, training, and performance management.
  • Lead on clinical and non-clinical rota and sessionplanning, ensuring safe and effective staffing across both sites.
  • Manage clinical and non-clinical annual leave, maintainingappropriate workforce cover at all times.
  • Oversee day-to-day operational and administrative systems,driving efficiency and continuous improvement.
  • Support HR processes, including appraisals, disciplinaryand grievance procedures.
  • Monitor appointment demand and capacity to supporteffective patient access.
  • Support financial processes, IT systems, premisesmanagement, health and safety, and governance requirements.
  • Assist with complaints handling, GP contract support, andpatient engagement activities.
Person Specification
Experience
  • Extensive knowledge of NHS general practice including administrative, reception and clinical requirements.
  • Previous experience of line management, including supporting staff and team development.
  • Experience managing teams and their workloads.
  • Excellent time management skills with the ability to prioritise work to meet deadlines.
  • Strong interpersonal and communication skills (written and verbal).
  • Effective problem-solving skills.
  • Excellent organisational skills.
