The Ministry of Defence employs over 50,000 Civil Servants. Within that,with responsibility for an annual budget of over £10bn, the Army is a major part of the Ministry of Defence and one of its largest operating centres who employaround 12,000 Civil Servants located at over 300 locations supporting the110K regular and reserve soldiers across the Army. This Civil Service workforce isdiverse, with many different functions and professions ranging from police officers, security guards, trainers, human resources, teachers, and psychologists to storekeepers, financiers, project and programme managers, and policy secretariat staff.

The Business Support Group sits within Headquarters Army Air Corps (HQ AAC), a HQ charged with leading and preparing the AAC through recruitment, aircrew selection, individual ground and flying training, personal policies, career management, communications and engagement and nurturing Corps ethos for training and operational readiness.

We are recruiting for a Business Support Assistant to join a small team who are committed to creating a welcoming, inclusive workplace. You will work closely with the Business Support Manager to provide comprehensive support to the HQ AAC covering travel/accommodation bookings, business governance and external courses. AAC colleagues are based across the UK, engaging effectively with a dispersed team will be part of the role.

This position is advertised at 37 hours per week.

Job description

We are looking for a Business Support Assistant to join our small friendly team at Headquarters Army Air Corps, where you will provide varied administrative support services to colleagues and managers to help achieve business objectives.

Your key responsibilities include:

  • Act as a central coordinating point for a range of business administration activities including travel bookings and assisting the Building Custodian with reporting faults and repairs
  • Provide support and information to aid effective management of budgets, in liaison with the Business Support Manager, including overseeing the placement of orders for goods and stationery using the Contract, Purchase and Finance (CP&F) e-procurement system and Tail Spend
  • Act as Allocating Authority for external courses, ensuring course applications are actioned on TARGET (the digitalised course loading application)
  • Regularly liaise with Ground Training, AAC Training Wings and course providers regarding external courses/allocations, ensuring all are kept informed with amendments and changes
  • Collecting and sending of HQ AAC mail daily
  • Group Mailbox management
  • Participate in relevant internal working groups, services and initiatives across the organisation
  • Facilitate all office equipment within HQ AAC, including printers and photocopiers
  • Ensure business continuity is maintained within the Business Support environment during leave/absence and carry out additional duties, commensurate with grade, as identified by the Business Support Manager
