Responsibilities
  • Primary Payroll Contact: S. and global payroll matters, coordinating between internal stakeholders and external payroll providers.
  • Data Validation: Review and validate payroll data for accuracy, including new hires, terminations, compensation changes, and other updates before each pay cycle.
  • Compliance: Ensure all payroll documentation is complete, accurate, and maintained in compliance with company policies as well as federal, state, local, and international regulations.
  • Payroll Oversight: Audit and manage payroll inputs and outputs, ensuring timely, accurate payroll processing by outsourced providers.
  • Controls & Procedures: Oversee the implementation, documentation, and maintenance of payroll controls and processes.
  • Exception Management: Manage and submit payroll exceptions, including:
    • Leave of absence deductions and adjustments
    • FSA, HSA, incentives, reimbursements, and allowance deductions
  • Off‑Cycle Payroll: Support and coordinate off‑cycle payroll, ensuring accurate and timely payments outside the regular schedule.
  • Work closely with HR, Benefits, Finance, and other departments to ensure prompt, accurate handling of payroll exceptions and special cases.
  • Equity Award Payroll Support: Coordinate with tax, finance, and rewards team for payroll tasks related to the equity award compensation plan.
  • 401(k) Audit Support: Assist with annual 401(k) audits by collaborating with external auditors and internal teams.
  • PTO Oversight: Review employee PTO balances, identify discrepancies, and support resolution.
  • Employee Support: Respond to and resolve employee inquiries related to payroll, deductions, taxation, and related issues.
  • Workers Compensation: Ensure workers' compensation policies and payroll records are kept up to date and compliant with state requirements in all U.
  • Year‑End Activities: Support year‑end processes, including W‑2 review, tax filings, and audits.
  • Compliance Monitoring: Stay up‑to‑date on payroll laws and regulations; Tax & Compliance Coordination: Work closely with the Tax & Compliance teams to ensure all regulatory, state, and federal tax filings and payments are completed accurately and on time, including but not limited to the following responsibilities:
  • Coordinate with internal Tax and Finance teams to confirm that Kyriba has established Employer Tax IDs in all relevant U.
  • Review and approve state and federal tax elections, I‑9 forms, and employee status changes in Workday.
  • Ensure state tax elections and benefit taxation are updated correctly whenever an employee relocates to a different state.
  • Generate, review, and analyze payroll reports/data to identify trends, discrepancies, and opportunities for improvement.
Qualifications
  • Bachelor's degree in Accounting, Finance, Human Resources, or related field, or equivalent experience.
  • 3+ years of payroll administration or management experience, preferably in a global and/or outsourced payroll environment.
  • S. payroll laws, multi‑state payroll, and global payroll best practices.
  • Prior experience working with external payroll providers (e.g., Demonstrated expertise with HRIS and payroll systems; Workday experience required (with emphasis on Payroll, Leave of Absence, and HRIS modules).
  • Professional payroll certification (e.g., Extensive hands‑on experience with Workday, especially Payroll and Leave of Absence modules). S. and global payroll operations (multi‑country, multi‑state).
  • Experience with payroll‑related audits and compliance processes.
  • Familiarity with benefits administration and payroll deduction management.
