Minor Works Administrator

Provide dedicated administrative support to the Minor Works Team within the Home Office (HO) and Ministry of Justice (MOJ) contract which covers over manned and unmanned TFM sites across the UK and Europe.The role will encompass the delivery of wide variety of tasks, with a focus of this role being the deliverance of excellent administrative service.The role will be based in our T2 Mitie Office in Birmingham.

Main Duties

The main duties of this role involve providing efficient clerical and administrative support as required, which includes but is not limited to supporting the Programmers, Senior Managers, and Head of Minor Works in carrying out all administration tasks. The role requires managing the end-to-end Fire Risk Assessment Remedial process while maintaining an audit trail. Additionally, the position involves maintaining operational data, including the training matrix, reporting, and any other associated data. The successful candidate will assist in preparation for both internal and external audits and help with site mobilisations. Support with HR issues, such as investigations and note-taking, is also required. The role includes collating overtime trackers in line with the required department's timelines and supporting the daily management and progress of Work Orders through their life cycle to completion, ensuring timely delivery to meet contract SLAs. It is essential to ensure that information regarding the progression of Work Orders held on CAFM systems is recorded accurately and promptly. The candidate will also oversee and maintain the department's email communications inbox. Please note that this list is not exhaustive, and the role may include any other reasonable management requests.

We are looking for a candidate who demonstrates a proactive approach to delivering excellent customer service to stakeholders and possesses a strong team player orientation, being cooperative and willing to assist others. The ideal candidate should have proficient IT skills, including MS Word, MS Excel, and MS PowerPoint, and be comfortable with numerical reasoning. They should be an engaging communicator, capable of influencing and adapting their approach to different audiences. The role requires someone well-organized with the ability to multi-task, prioritize, and manage competing demands effectively, with strong project and deadline orientation. The candidate must maintain effective work behavior under pressure or setbacks, staying calm and in control. Excellent attention to detail and accuracy is essential. Additionally, an understanding of Work In Progress (WIP) and the ability to assist in keeping WIP for the contract at a minimum at all times is required. Experience or knowledge of CAFM systems is also necessary.
