Job Summary

You will possess excellent administrative skills and good working relationships with colleagues. You will be an excellent communicator and can prioritise your workload ensuring that work is completed in a safe and timely manner. You will be working within the Admin Hub and supporting the Respiratory, Epilepsy and Parkinsons Team, based within Mayflower Community Hospital. This is an office‑based role, 33 hours per week, over 5 days, with flexibility with working hours.


Main Duties


  • Working alongside the nursing teams and delivering admin assistance as and when required.

  • Responding to enquiries and taking appropriate action on behalf of the service, either by telephone or correspondence, within agreed time limits.

  • Managing and prioritising workload effectively.

  • Establishing and maintaining electronic filing systems, including knowledge of Systm One, Microsoft Office, Teams, Cisco Jabber.

  • Preparing agendas, updating action logs, arranging and taking minutes at meetings intended for internal review only.

  • Booking meeting rooms and liaising with reps.

  • Inputting generic data into organisational systems or in‑house records.

  • Receiving and acting on queries via email, telephone, and online, ensuring timely resolution.

  • Receiving referrals and offering appointments with clinicians for assessment, cancelling and amending appointments, and sending emails and SMS to patients.

  • Ordering and managing stock supplies, including stock rotation and audits.

  • Preparing equipment and supply packs for nurses.

  • Reporting on complaints, compliments, Power BI reports, 18‑week waits, health roster reporting on sickness, booking clinics.

  • Covering other admin hubs at various locations as required.

  • Working without supervision and addressing urgent situations swiftly.

Probationary Period

High Cost Area Supplement

Outer London: 15% of basic salary (£4,313 – £5,436 p.a. pro rata for part‑time).
Fringe: 5% of basic salary (£1,192 – £2,011 p.a. pro rata for part‑time).
