Role Description

Job title:Administrative Officer

Contract / Hours:Permanent / Part Time – 21 hours per week (Wednesday, Thursday and Friday)

Abit about the role

The Moray cluster hosts two residential services and several community based services. The role will predominantly cover administrative duties and cash reconciliation within the residential services, though support across the other services may be required and as such an expectation would be you worked flexibly as directed by the CSM & SBSO.

You’ll be part of the Business Support team, providing vital administrative assistance to the Senior Business Support Officer, Children’s Services Manager, Team Leaders, and Family Support Practitioners. Your role will include presenting data for internal and external reporting on a weekly, monthly, quarterly, and year-end basis, while ensuring all administrative tasks are completed to a high standard. By working collaboratively, you will help maintain a smooth-running and evolving service, and as the first point of contact, you will offer a warm and welcoming approach to colleagues, parents, and professionals.

This role is based across the two residential houses, (one in Buckie on in Elgin) and our main office based in Elgin. The expectation is that you would travel across the 3 sites, with your main office based in Elgin, therefore the need to travel independently to these sites is vital.

How you’ll create brighter futures

  • Administrative support to the management team; this will include diary management, arranging meetings and general admin tasks.
  • Financial Tasks; Managing, monitoring and recording Petty Cash, PCards, weekly reconciliation and raising POs.
  • Collating and updating records on a monthly/quarterly basis.
  • Data gathering and ability to present a variety of information in various formats to different stakeholders within a senior level.
  • Admin support including minute taking for both operational and HR meetings.
  • Part of a team that is the first point of contact for general enquiries.

Let’s talk about you

  • Minimum of Business Administration S/NVQ Level 2 or equivalent relevant qualification is preferred but not essential or equivalent work experience
  • Demonstrable interest and experience of using computers through a business network running MS Windows and Office applications, email and the Internet.
  • Confident with figures and applying literacy skills, to communicate effectively with a range of individuals/teams.
  • Confident and effective with both written and verbal communication, including to prepare and present reports.
  • Ability to deliver task within agreed quality and timescales.
