Job Overview

This post is open to employees of the five LAASP organisations. As part of your application, you will be asked to confirm that you are a current employee of The Clatterbridge Centre, Liverpool Heart and Chest Hospital, Liverpool University Hospitals, Liverpool Women's Hospital or, The Walton Centre.

Key responsibilities
  • Manage the patient information systems within the Centre, providing statistical information as requested by the Lead/Manager and the Trust regarding outpatient activity.
  • Provide general administration support to the PROMs, Inpatient Booking Team & Outpatient Booking Team.
  • Manage the Admin and Clerical Team within the Service to support delivery of Outpatient efficiencies.
  • To provide a first-class service to Clinicians and Service users of PROMs.
  • Ensure patient referrals are entered and Outpatients appointments are made in a timely manner within local and national targets.
  • Ensure all clinic outcome information is recorded on relevant information systems in a timely manner.
  • Ensure referrals received are accompanied by all relevant information to support effective clinical triage.
  • Work collaboratively with other professionals and agencies to meet patient needs in relation to service provision.
  • Manage referrals and waiting lists into Orthopaedics using various referral systems (including ICE, e-referral and iPM).
  • Clinic template management; responsibility for PROMs, Inpatient Booking & Outpatient Bookings telephone service.
  • Supervise and develop admin/clerical staff.
  • Work with clinical and management teams on service improvement and development projects.
  • Act as a main point of contact for the Admin and Clerical team at Royal site.
  • Provide general administration support to local management.

Detailed job description and main responsibilities
  • Ensure clinics are fully utilised in line with current rosters.
  • Manage and cross-cover teams; set up and maintain all clinics/sessions and diaries within the hospital system following rota decisions.
  • Ensure all patient information (manual and electronic) is accurate, complete, and retrievable.
  • Undertake, review and develop communication with patients including letters, appointments and management of DNAs.
  • Maintain standards/policies and support the implementation of Trust strategies at Centre level.
  • Line manage clerical staff; ensure adequate training to function efficiently.
  • Assist in recruitment and deployment of Centre staff.
  • Provide day-to-day administrative cover in the absence of the Centre Manager.
  • Lead responsibility for compilation and accuracy of all statistical returns regarding patient activity.
  • Order supplies including stationery.
  • Provide a service for patients applying for records under the Data Protection Act 2018 (Subject Access requests).
