Administration Manager (Full Time, Permanent)
Location: Blanchardstown, Dublin 15
We are recruiting a Administration Manager on a full‑time, permanent contract to join our leadership team in the Blanchardstown, Dublin 15 area.
As Administration Manager you will take full ownership of the Administration function, leading and developing a high‑performing team that underpins the delivery of our services to schools, parents, and internal stakeholders. This is a critical operational leadership role, ensuring that administration, customer service, systems and data accuracy operate seamlessly to support production, logistics and service excellence.
Reporting to the Director of Operations, you will play a key role in embedding best practice, improving efficiency, strengthening governance and driving continuous improvement across administration and customer service operations.
Key Responsibilities and Accountabilities
- Lead, manage and develop the Administration Team, setting clear expectations, performance standards and a strong culture of accountability and collaboration.
- Coach, mentor and support team members to build capability, resilience and succession within the function.
- Embed best‑in‑class customer service across all channels, including phone, email, parent apps and ticketing systems.
- Take ownership of administration systems, including the Parent App and order processing platforms, ensuring high adoption, accuracy and reliability.
- Design, implement and embed administration processes and procedures that support efficiency, scalability and operational excellence.
- Identify and deliver continuous improvement initiatives, including technology enhancements and reductions in manual processing.
- Oversee the setup of new schools, academic year rollovers, holidays, closures and service changes, ensuring minimal disruption to service.
- Ensure all menus, school data and service information are accurate, up to date and aligned with operational requirements.
- Oversee the preparation and distribution of accurate production sheets, ensuring correct alignment with production and logistics teams.
- Coordinate closely with Operations, Production, Logistics, Quality and IT teams to ensure seamless end‑to‑end service delivery.
- Ensure strong governance, controls and data integrity across all administration activities.
- Monitor and mitigate operational risks within the administration function and ensure compliance with internal policies and data protection requirements.
About You
- An experienced administration or office management leader with proven accountability for administration and customer service functions.
- Strong people leader with experience managing, developing and performance‑managing teams in fast‑paced operational environments.
- Highly organised, detail‑oriented and disciplined, with a strong focus on accuracy, governance and execution excellence.
- Customer‑focused, with a clear understanding of service delivery in education, food, logistics or operational settings.
- Confident change leader, capable of embedding new processes, systems and ways of working effectively.
- Strong systems and process management capability, with experience overseeing order processing platforms, customer‑facing apps or administration systems.
- Comfortable working cross‑functionally with Operations, Production, Logistics, Quality and IT teams.
- Decisive, resilient and calm under pressure, with the ability to manage multiple priorities and deadlines simultaneously.
- Commercially aware, with a practical understanding of how administration accuracy supports operational and financial performance.
