THE EMPLOYER IS: EDGARSTOWN RESIDENTS ASSOCIATIONTo provide administrative, clerical, and financial support to ensure the smooth and efficient daily operation of the Edgarstown Community Base.The Admin and Finance Assistant will play a key role in maintaining accurate records, supporting financial procedures, and assisting staff, volunteers, and visitors in accessing community services.

Responsibilities
  • Manage day-to-day administrative tasks, including answering calls, responding to emails, and greeting visitors. Maintaining an organised filing systems (digital and paper), ensuring records are up-to-date and easily accessible.
  • Support the coordination of community programmes by preparing materials, booking rooms, and updating schedules. Assist with reports, letters, minutes, and project documentation.
  • Maintain office supplies and equipment, placing orders when required.
  • Assist with basic bookkeeping tasks, including data entry, invoice processing, and receipt management. Helping to maintain accurate financial records in line with organisational procedures.
  • Support the preparation of financial reports for funders, board members, and management.
  • Assist with petty cash handling, expense claims, and reconciling small transactions. Ensure financial documentation is stored securely and complies with audit requirements.
  • Support the daily functioning of the community base, helping maintain a clean, organised, and welcoming environment. Provide administrative assistance to staff, volunteers, and partner organisations using the centre.
  • Handle sensitive information discreetly and comply with data protection requirements. Follow organisational policies and procedures, including safeguarding, privacy, and financial control procedures.
  • Support monitoring and evaluation activities by maintaining accurate attendance logs and activity records.
  • Assist with community communications such as newsletters, social media updates, and promotional materials (if required). Provide friendly and helpful support to residents, young people, and visitors accessing services.
  • Help strengthen positive relationships with community members and partner organisations.
Skills and Qualifications
  • 4 GCSE’s or equivalent.
  • Strong organisational and administrative skills.
  • Good attention to detail and accuracy, especially in record-keeping and finance tasks.
  • Confident using computers, including email, spreadsheets, and basic accounting tools.
  • Excellent communication and customer-service skills.
  • Ability to prioritise tasks and manage workload effectively.
  • Able to handle confidential information.
  • Willingness to develop skills through training.
