Sprint Transfers Limited is a dedicated service provider, offering specialised transportation for disabled children to and from school. Our mission is to ensure every child has safe, reliable, and timely transport, fostering their education and well‑being. We are seeking an Administrator to join our dynamic team and contribute to our high standards of service and compliance.

Job Summary

The Administrator will play a crucial role in the daily operations of our school transport service. This position requires a highly organised individual who can manage a busy workload, handle multiple time‑critical tasks, and ensure all processes comply with regulatory standards. The ideal candidate will have exceptional organisational skills, the ability to prioritise effectively, and a commitment to maintaining high levels of accuracy and compliance.

Employment Details

Part‑Time Permanent role

Hours: Monday to Friday
20 hours per week 09:30‑13:30

Employment Type: Part‑time, Permanent (3‑month probationary period)

Salary: £13 k‑£15 k per year
Pension Scheme: Yes
Holidays: 28 days per year

Key Responsibilities
  • Scheduling and Coordination
    • Organise and manage daily schedules for drivers and routes.
    • Communicate with schools, parents, and drivers to confirm pick‑up and drop‑off times.
    • Adjust schedules as needed in response to changes or emergencies.
  • Compliance Management
    • Ensure all drivers have up‑to‑date certifications and background checks.
    • Maintain accurate records of vehicle maintenance, insurance, and inspections.
    • Monitor compliance with all relevant regulations and policies.n

    • Answer phone calls and emails promptly and professionally.
    • Maintain organised and up‑to‑date files and records.
    • Prepare and distribute daily, weekly, and monthly reports as required.
  • Communication
    • Serve as a primary point of contact for parents, drivers, and school staff.
    • Address and resolve any issues or concerns related to transportation services.
    • Provide clear and timely communication to all stakeholders.
  • Time Management
    • Prioritise tasks to manage a high volume of work effectively.
    • Ensure all time‑sensitive processes are completed accurately and on schedule.
    • Implement strategies to improve efficiency and workflow.
Required Skills and Qualifications
  • Organisational Skills: Exceptional ability to manage multiple tasks, keep detailed records, and maintain an organised workspace.
  • Time Management: Proven ability to handle a busy workload and meet deadlines in a fast‑paced environment.
  • Communication: Excellent verbal and written communication skills, with the ability to convey information clearly and professionally.
  • Attention to Detail: High level of accuracy in all tasks, particularly in maintaining compliance records and scheduling.
  • Problem‑Solving: Strong problem‑solving skills, with the ability to adapt to changing circumstances and resolve issues quickly.
  • Technical Proficiency: Competence with Google Applications (Gmail, Calendar and Drive) and ability to learn new systems quickly.
  • Interpersonal Skills: Ability to work effectively with a diverse range of individuals, including children, parents, drivers, passenger assistant, and school staff.
Preferred Qualifications
  • Previous experience in a similar administrative role, ideally within a transportation or school environment.
  • Knowledge of compliance requirements for transportation services.
  • Familiarity with WhatsApp as our preferred communication method.
  • Familiarity with Google software programmes (Gmail, Calendar and Drive)
  • Familiarity with CRM system
Working Conditions
  • Office environment with regular interaction via phone and email.
  • Occasional need to adjust working hours to accommodate emergency scheduling changes or urgent compliance issues.
  • Covering a school contract work either as Driver or Passenger assistant as required.
  • Must not have a criminal offence in the background check. (A background check will be done if the job is offered) along with 2 references from previous employment.
