Overview

Admin Assistant — £27k per annum • Monday – Friday / General Office Hours • Wrexham • Own transport essential

Our client based in the Wrexham area is currently looking to recruit an Admin Assistant on a full-time permanent basis. Reporting to the Administration Manager you will facilitate the smooth transition of customer enquiries from initial contact and receipt of purchase order through to invoicing, by ensuring effective communication between customers and internal departments to enable procurement of required materials and reconciliation of project costs in accordance with company targets.

Responsibilities
  • To support the Administrator in accordance with their duties and responsibilities
  • Receipt of customer orders to create hard copy and electronic copy Project folders and entering required information at all Project stages onto the company Works Order System.
  • Sending of order acknowledgments to customers and handover of Project folders to Project Co-ordinator.
  • Retrieval of Project Parts Lists from Project folders and inputting onto Sage Software to generate internal and external purchase orders to facilitate allocation of materials for Projects.
  • Reconciliation of individual project cost analysis to enable accurate invoicing against purchase orders and raising of credit notes, to ensure accounts are balanced and any discrepancies highlighted and rectified through liaison with Project Co-ordinator.
  • Provision of accurate stock procurement (including booking in goods received, bonded stock) to enable the continuation of internal materials from Stores Area into Production
  • Provision of customer and supplier support services; receiving telephone calls and receiving in person, to enable the direction of enquiries to the relevant points of contact within the organisation.
  • Generation of reports using Sage 200C software to ensure customer orders are effectively despatched and invoiced when required.
Person Specification
  • Proficient in the use of all Microsoft packages. Word, Excel and PowerPoint.
  • Excellent customer service.
  • Excellent verbal and written communication skills.
  • Excellent time management, organisation skills and able to work to deadlines.
  • Ability to prioritise own workload and manage expectations.
  • Attention to detail and accuracy.
  • IT/Administrative writing skills and a high level of professionalism with customers and external sources.
  • Due to location own transport will be required.
