As our Madrid hub continues to grow, we’re looking for aSenior Site Operations Project Manager to strengthen our operational foundations and contribute to the efficient management and smooth running of our European business.

This is a new role and great opportunity to be the connective tissue between teams, ensuring coordination between supporting functions to enable financial, operational, and administrative processes to run efficiently. You will also look to continuously improve key operational processes and deliver audit and compliance requirements as we continue to build a high performing business.

You will be instrumental in managing special projects and events identified by the VP of Engineering & Site lead, such as hackathons, client workshops and site wide engagement events as required. You will be data literate; comfortable maintaining spreadsheets, crafting site-level dashboards and driving insights for executive decision making.

This is a hands‑on, cross‑functional role that blends business operations, project coordination, and process optimization.

Responsibilities
  • Operational coordination: Support the VP Engineering in overseeing day‑to‑day site operations, aligning with teams in Engineering, Finance, Procurement, Legal, HR, and Facilities to run our business.
  • Financial and budget tracking: Assist in managing CAPEX/OPEX by tracking and monitoring budgets and running monthly reports for site‑level planning and decision‑making.
  • Vendor and contract management: Assist global procurement with payment of providers in Spain, vendor onboarding and renewals, and coordination with legal and finance teams to ensure smooth running of our business.
  • Tooling and systems: Review and improve which systems (tools) we use and support possible migrations to better ones (e.g. Redmine vs ADO, etc.).
  • Process improvement: Map and optimize workflows, streamline handoffs between departments, and identify opportunities for automation and AI adoption to reduce manual effort.
  • Audit and compliance support: Coordinate documentation and cross‑team communication for internal and external audits or tax initiatives.
  • Data and documentation: Maintain key operational records, budget spreadsheets, and site‑level dashboards; ensure information is accurate and accessible for executive decision making.
  • Site‑wide initiatives and communication: Plan and implement internal special projects and events, such as hackathons, Lunch & Learns, and team engagement initiatives, handling logistics, budgets, and comms.
Requirements
  • Bachelor's degree in business administration, Operations, Engineering, or a related field (Master’s or MBA a plus).
  • 5+ years of experience in business operations, site management, or cross‑functional project coordination, ideally within a tech or innovation‑driven environment.
  • Financial acumen and attention to details. Experience running CAPEX/OPEX tracking and reporting is an advantage.
  • Proven ability to work collaboratively across functions, building alignment, and solving operational challenges.
  • Advanced proficiency with spreadsheets and data analysis tools (Excel, Google Sheets, dashboards).
  • Excellent organization, communication, and stakeholder management skills.
  • Working proficiency of English and Spanish.
