The ideal candidate will handle invoicing, document management, logistics, and data maintenance within Microsoft Dynamics. This full-time position requires strong organizational skills, attention to detail, and fluency in English and Spanish. Responsabilidades

  • Coordinate with the Sales Manager for quote preparation and administrative support.
  • Assist in preparing and sending materials and equipment to projects.
  • Manage work orders and work acceptance documentation.
  • Support the purchasing process for subcontractors and suppliers.
  • Help prepare project kits including PPE and required materials.
  • Provide logistical and documentation support for equipment maintenance.
  • Assist in project material and inventory tracking.

CeraShield is a rapidly expanding company specialising in the application and removal of premium ceramic coatings for paint, glass, and stainless steel.

With over 10 years of experience in applying ceramic coatings to Superyachts, our experienced team of applicators are pioneers in advanced technology.

Our offices are located in Palma de Mallorca, and we undertake projects globally.

Job Summary

We are looking for a proactive and highly organised Administrative Assistant to support the General Manager and Sales Manager in their daily operations.

The ideal candidate will assist with invoicing, document management, team coordination, logistics support, and data maintenance in Microsoft Dynamics.

This is an essential role to ensure smooth execution of project activities and to help keep administrative systems up to date.

Full-time position.

Office based in STP, Palma de Mallorca.

This role requires attention to detail, adaptability, and a willingness to learn internal toolsand systems.

A commitment to process efficiency, confidentiality, and a collaborativework ethic is essential.

Responsibilities
  • Coordinate with the Sales Manager for quote preparation and administrative support.
  • Assist in preparing and sending materials and equipment to projects (including tracking of shipments).
  • Manage work orders and work acceptance documentation.
  • Support the purchasing process for subcontractors and suppliers (PO creation).
  • Help prepare project kits including PPE, gloss readers, uniforms, and other required materials.
  • Provide logistical and documentation support for ITV, cherry picker, and equipment maintenance.
  • Assist in project material and inventory tracking and machine/equipment maintenance schedules.
  • Provide support with travel logistics.
Requirements
  • Experience in business administration, or related field.
  • Previous experience in an administrative or support role.
  • Strong organisational and time management skills.
  • High attention to detail and problem-solving attitude.
  • Advanced knowledge of Microsoft Office Suite and familiarity with Microsoft Dynamics.
  • Fluent in English and Spanish, both written and spoken.
  • Ability to work under pressure in a dynamic, project-based environment.
