Administrative Assistant (all genders)

Your Tasks And Responsibilities

• You support the Research Cluster Lead as well as other members of the RED CVRI team in all administrative matters
• You work collaboratively with the RED CVRI assistant team in task-related subteams
• Organizing and following up on internal and external meetings and events with national and international participants, including all associated logistical tasks, are part of your responsibilities
• You are responsible for correspondence with internal and external partners in both German and English
• Travel management (planning, booking, reimbursement, approval) in BOB and Concur is one of your tasks
• You are responsible for maintaining time records in SAP as well as managing and preparing various databases (e.g., time tracking, training database)
• You support the cross-functional team in preparing pharma reports and other documentation, as well as in implementing Good Research Practice
• You are responsible for general procurement processes in SmartBuy
• Administrative support in HR processes within the cluster, including onboarding and offboarding, is also part of your role
• You maintain the internal intranet and SharePoint pages, Teams channels, and distribution lists
  
  

Who You Are

• You have completed commercial vocational training or further education as a foreign language assistant (all genders) or have a comparable qualification
• You have several years of administrative experience, ideally in the pharmaceutical or R&D sector
• You have excellent skills in using software such as Microsoft Office (Word, Excel, Outlook) and other office applications like SAP or time tracking tools
• You work independently and have the ability to prioritize tasks and complete them responsibly and successfully
• You have strong organizational and teamwork skills, as well as a high level of commitment, flexibility, and service orientation
• You bring a proactive mindset and pursue a strong results-oriented approach to your tasks
• You demonstrate a high degree of responsibility and a confident, professional demeanor in an intercultural environment and at all management levels
• You have good German and excellent English skills, both written and spoken
