Overview

This position can be fully remote in the US, hybrid in Yarmouth, MA, Washington, DC.

The Prospect Research Coordinator provides prospect research, operational, and administrative support to IFAW’s Development Department with a focus on high-net-worth individuals and family foundations. This is a bold and energetic self-starter who is passionate about working in a fast-paced, high-performance department. The Prospect Research Coordinator will manage a variety of research initiatives and projects poised to improve the fundraising and operations of one of the world’s leading animal welfare and wildlife conservation organizations. The position reports to the Director of Prospect Research (DPR) and supports the DPR by providing accurate research and helping to implement the strategy for portfolio and pipeline management.

Responsibilities

Prospect Research

  • Conduct thorough research of public records, databases, media, internet, and proprietary resources to identify information regarding existing and prospective donors.
  • Produce high quality research documents (written reports) summarizing research conclusions for IFAW’s Major Gifts / Legacy team, Deputy Vice President, Vice President, and CEO.
  • Manage online research services, subscriptions, and prospect research files.
  • Take ownership of data accuracy and integrity in the donor database(s) (Team Approach, BBCRM, etc.).
  • Ensure research requests and screening are completed on time and accurately; and stored on secure intranet to meet all reporting, privacy and compliance requirements.
  • Project manage all routine prospect and wealth screening research, including daily/weekly acquisition and organization of information used to assign donors to portfolios; and regular wealth screening database appends including quality control for data uploaded to CRM.
  • Meet with frontline fundraisers quarterly to refresh portfolios and help maintain portfolios capable of supporting bold revenue goals. Work with Senior Development Coordinator to ensure planned solicitations and donor staging data is populating reports correctly.
  • Develop a broad awareness of IFAW’s programs to support the identification of individuals and institutions whose philanthropic interests align with our work.
  • Create maps with ArcGIS to help plan Major Gift Officer travel and show industry and organizational trends.
  • Set up, manage, and distribute news alerts for the Major Giving Team.
  • Stay current with research best practices.
  • Organize agendas and materials for prospect strategy meetings, participate in meetings, complete any follow up tasks.
  • Be aware of global compliance issues and GDPR; be ready to support efforts to enable US and European fundraisers to use available research.

Administration & Special Projects

  • Miscellaneous duties to assist the Major Gifts and Development team as needed, such as tactical support to frontline fundraisers – meeting and event preparation; assembly of pitch kit materials; meeting reminders; etc.
  • Miscellaneous duties to assist with events as needed, such as invitation creation, list management, sponsorship research and outreach, or other coordination efforts as assigned.
  • Draft travel itinerary and planning documents for major gift officers traveling to meet with donors, organizing project site visits for donors, or preparing for donor engagement initiatives.
  • Provide support to Director of Prospect Research and Deputy VP in contracts management.
Qualifications
  • Two – four years’ comparable experience in a professional office environment.
  • Demonstrated project management experience, including a track record of seeing projects through from beginning to completion.
  • Experience with online research and understanding of reliable sources.
  • Pragmatic, self-motivated, composed under pressure with professional acumen, good judgment, discretion, and a highly developed sense of responsibility.
  • Superior planning and organizational skills and ability to manage logistics and communications in a fast paced environment. Ability to work independently with minimal supervision and to problem solve with little guidance.
  • Excellent verbal and written communication skills, including strong synthesis abilities.
  • Excellent interpersonal skills and teamwork principles.
  • Experience using a CRM.
  • Advanced proficiency with Microsoft Office.
  • Experience with wealth screening or research software including iWave, WealthX, Windfall, LexisNexis, or similar.
  • A strong commitment to IFAW’s mission; interest in animal welfare and conservation.
  • Nonprofit experience.
  • Experience with ArcGIS.
  • Experience using a project management software like Asana.
  • Advanced Excel skills, including understanding of dependent formulas, pivot tables, and other complex spreadsheet functions.
