Your role

As our Office Manager you will ensure that our office runs smoothly, safely and efficiently. This is a hands‑on role: you will take full ownership of the spaces, routines and resources that keep our daily office life running while bringing a solution‑oriented mindset to every task. We are looking for someone who can handle administrative and classic office management tasks confidently and independently from day one. While we will support onboarding for event and workspace setup or move planning, your core focus will be operational excellence.

  • Managing day‑to‑day office operations for more than 350 people including calendar coordination, meeting scheduling, filing, correspondence and general administrative tasks
  • Being regularly present at the reception desk serving as the first point of contact for visitors, suppliers and candidates while also handling ongoing back‑office tasks
  • Managing invoices, contracts and documents ensuring accurate and structured record‑keeping
  • Coordinating external service providers and vendors including quote requests, commissioning and ongoing communication
  • Organizing and administering office infrastructure including office supplies, event planning, catering, access cards and workplace setup
  • Collaborating closely with our Office Management team of three to continuously improve workflows, support internal teams and foster a culture of operational excellence and sustainability
Your profile
  • You have professional experience in administration, office management, reception or front desk and can handle operational classic administrative office management tasks confidently and independently
  • You should have experience working in large office spaces and managing their operations; know‑how in office expansions or multi‑site operations is a big plus!
  • You embody an open helpful nature combined with an independent working style and a strong desire to take ownership of your tasks and projects
  • You bring interest to learn about office safety & security management, office space and furniture planning and facility maintenance
  • You have very good communication skills in both English and German and are available for 40 hours per week starting as soon as possible
