About the role

We are looking for a part‑time Office Manager who will maintain a smooth, welcoming, and well‑organized office environment. This role is fully on‑site, 20 hours per week, and requires someone who can be present in the office every day of their scheduled work week. You will be the first point of contact for employees, visitors, and external vendors, ensuring that the office operates efficiently and that team members have everything they need to perform at their best.

English is the main working language at MLS, but German (minimum B2 level) is required for communication with external service providers, facility management, and third‑party vendors.

Responsibilities:

• Daily office management and upkeep, ensuring a clean, organized, and functional workspace
• Coordinating third‑party service providers (cleaning, maintenance, deliveries, etc.)
• Managing communication with the building’s Facility Management (in German as needed)
• Supporting small internal events and team activities hosted on‑site
• Handling mail, packages, and basic equipment logistics
• Welcoming guests and providing general administrative support to the team
• Ensuring on‑site Workplace Health & Safety requirements are followed (training can be provided)
• Support the people team with both onboarding and offboarding processes for employees.
• Monitor and restock office supplies and consumables, and handle office supply orders according to the set budget to ensure stock levels are consistently maintained.

Requirements:

• Previous experience in Office Management, Administration, or a similar role
• Fluency in English (company language)
• German proficiency B2 for external vendor and facilities communication
• Strong organizational and multitasking skills
• Reliable, proactive, and comfortable supporting the office environment independently while working cross‑functionally.
• Ability to work fully on‑site during scheduled workdays
• Experience with Workplace Health & Safety is a plus but not mandatory
