Overview

We are looking for a dedicated Office Manager / Facilities Specialist (m/w/d) to join our team in Ettlingen.

This role requires on-site presence five days per week and offers the opportunity to become an integral part of a collaborative and supportive team. In this position, you will manage fleet and you will ensure smooth day-to-day operations of multiple DACH offices.

About the Role
  • Support multiple DACH offices operationally.
  • Fleet management: managing company vehicle leasing (exchanges, managing vehicles on a parking lot, operational support).
  • Review and code car-related & operational invoices.
  • Handle and scan daily mail and distribute accordingly.
  • Manage all incoming calls and forward them to the appropriate departments.
  • Order office supplies & manage inventory.
  • Perform administrative tasks including documentation & database updates
  • Support office maintenance: facility management (liaising with landlords and cafeteria staff, suppliers for lighting, cleaning company, garden maintenance, parking, window blinds, window cleaning, security, coffee machines, waste disposal, etc.).
  • Assist with shipping of parcels.
  • Organize internal and external lunches and dinners.
  • Coordinate the team for operational emergency services.
About You
  • You have least 3 years of experience in similar roles; if you have some fleet management experience, that would be perfect.
  • You have excellent German and English language skills.
  • You have excellent PC skills (MS Office).
  • You work independently and possess strong organizational abilities.
  • You are a team player with a sense of responsibility.
