Job description
Position Summary

The Payroll & Accounting Administrator provides ongoing support to the payroll manager and controller, as well as necessary assistance to the human resources department. Responsibilities include processing unionized and non-unionized payroll, updating and maintaining payroll spreadsheets, managing internal and external payroll, and handling accounting-related inquiries, inputting accounts payable, processing payments, creating customer invoices, and other general accounting duties.

This is a 14–15-month position to cover maternity leave.

Employees are expected to support and participate in a "culture of safety" and adhere to Strike’s Code of Conduct and Values, treating others with dignity, respect, and fairness.

Core Accountabilities
  1. Process payroll for hourly employees and validate hours with HR and administrators between AX and ADP/SDG systems.
  2. Enter miscellaneous payroll deductions into ADP/SDG as required.
  3. Calculate and submit records of employment using ROEweb and ADP ROE Direct.
  4. Respond to CRA and Service Canada requests for payroll information.
  5. Process and maintain garnishments, RRSP deductions, and other remuneration adjustments accurately.
  6. Prepare and distribute payroll-related communications to administrators and employees.
  7. Enter hourly employees’ timesheets into the AX system.
  8. Import employee truck payments into ADP.
  9. Enter rate adjustments and lump sum payments to employees.
  10. Prepare and submit payroll reports to accounting and management.
  11. Process special payroll runs or EFT direct files when applicable.
  12. Assist employees and administrators with payroll web access setup.
  13. Provide feedback to improve payroll and accounting processes.
  14. Collect new employee documentation, maintain employee files, and set up employees in SDG.
  15. Ensure compliance with all financial, legal, and administrative requirements.
  16. Prepare payroll documents (e.g., payroll register, stop payments, union reporting) ensuring compliance and audit readiness.
  17. Set up union rates, burdens, and deductions for accurate execution of union agreements.
  18. Prepare and submit monthly union due reports.
  19. Verify payroll information (e.g., timesheets, direct deposits, benefits) for accuracy.
  20. Liaise with employees, management, union representatives, and external agencies regarding payroll matters.
  21. Assist with year-end reconciliations and the creation of T4s and T2200s.
  22. Create and submit daily priced time tickets to customers, ensuring compliance with contracts.
  23. Generate customer invoices and compile invoicing documentation.
  24. Process customer payments and follow up on overdue accounts.
  25. Enter accounts payable invoices, file invoices, and process cheque runs.
  26. Reconcile vendor statements and respond to inquiries.
  27. Create general journal entries for payroll and bank transactions and prepare monthly bank reconciliations.
  28. Perform other general accounting duties as assigned.
Qualifications
Education
  • Related diploma or bachelor’s degree (e.g., business administration, accounting, commerce) preferred.
  • CPA Payroll Practitioner Certificate is an asset.
Experience
  • Minimum two years of accounting and payroll experience.
Knowledge, Skills, & Abilities
  • Discretion with confidential information.
  • Knowledge of financial and accounting software including Dynamics AX, ADP Workforce Now, Excel, and Word.
  • Effective communication with management, colleagues, and external agencies.
  • Excellent organizational and time management skills.
  • Professional verbal and written communication skills.
  • Ability to work independently with minimal supervision.
  • Attention to detail.
  • Proactive in seeking and accomplishing tasks that promote a safe, efficient, and productive environment.
