The Workplace Experience Team is mandated to provide a positive, welcoming, and safe office experience for staff, clients and our partners. The Workplace Experience Coordinator plays an instrumental role within the team in maintaining a safe, productive and comfortable work environment for staff. The Coordinator has the ability to adapt to an ever‑changing face‑paced environment, approachable and welcoming with a positive attitude and a desire to provide excellent custom service.

Responsibilities
  • The Coordinator is responsible for services such as space upkeep, program support (coffee, snacks, catering), to make sure the office environment is well stocked and comfortable to work in.
  • They manage any internal requests and maintenance with things such as heating and air conditioning, and cleanups to maintain a comfortable, safe and clean working environment.
  • Coordinators are responsible for the general upkeep and maintenance of offices to ensure that they meet health and safety standards.
  • Coordinators are also responsible in assisting with office systems, which can often include the IT and office equipment with moves, adds and changes.
  • Coordinators assist in setup and take down of all social and working events. This includes catering setup, furniture reorganization and all additional logistics involved with events/meetings. Events include meetings, townhalls, vendor visits and vendor client seminars.
  • Adhere and support company and office policies.
  • Cross train on all other Workplace Experience Team roles and functions.
  • Other duties as assigned Skills.
  • Strong hospitality skills, professional friendly and outgoing personality with positive attitude.
  • Professionalism in all situations, ability to interact with all types of personalities.
  • Attention to detail, ability to accurately sort and distribute mail and packages.
  • Organizational skills, efficiently manage mailroom operations and maintain inventory.
  • Communication skills, strong verbal and written communication to assist employees and coordinate with external vendors.
  • Customer service, provide friendly and helpful service to employees and clients.
  • Time management, ability to prioritize tasks and manage time effectively in a fast‑paced environment.
  • Knowledge of Microsoft Office programs.
  • Ability to work in multi‑tasking fast‑paced environment.
  • Basic maintenance and repair skills.
  • Acts as liaison between employees and any outside contractors needed to resolve specialized problems.
  • Prolonged periods standing and walking throughout facilities.
  • Must be able to lift up to 15 pounds at times.
  • Must be able to bend, lift, stretch, climb, and crawl to maintain equipment.

The salary range for this position is $45K-$50K. Actual salary within the salary range will be based on a variety of factors including relevant experience, knowledge, and skills. A range of medical, dental, RRSP, paid time off, and/or other benefits also are available to all permanent employees.
