OFFICE ADMINISTRATOR

If so, then you should be a part of the Taylor Statten Camps full time office staff team!

Canada’s oldest family‑run traditional summer camp, the Taylor Statten Camps operate on Canoe Lake in Algonquin Provincial Park from June through September. From October through May, this position shifts to a work‑from‑home arrangement. The camp is made up of Camp Wapomeo for Girls and Camp Ahmek for Boys. Our campers range from age 6 to 16. We are a traditional camp that offers a wide selection of in‑camp activities and a world‑class flat‑water canoe tripping experience for all ages.

We are currently looking for an Office Administration Manager that focuses primarily on Camper‑Parent Relations, Transportation Logistics, and Supply Chain/Vendor Management.

Responsibilities
  • Act as the primary contact for camper parents (new & returning); answer daily inquiries via phone and email
  • Maintain the Campbrain software application
  • Process registrations through Campbrain for both summer camp and September Camp (family camp)
  • Keep track of outstanding financial balances with all vendors, suppliers, and clients
  • Assist and support senior management
  • Order operational and program supplies
  • Oversee organization and creation of camper files
  • Arrange intake and outtake transportation for all campers and staff including airport pickups and drop‑offs
  • Create cabin groups, maintaining an up‑to‑date Camp Brain ‘cabinizer’ spreadsheet throughout the year
  • Work closely with Algonquin Catering to provide accurate meal counts each day as well as allergies, dietary restrictions and birthdays
  • Act as the main company contact for the TSC Bursary Fund
  • Act as the summer supervisor of the Driver, Ahmek receptionists and Ahmek tuck shop/storehouse staff; assist with Wapomeo receptionists and tuckshop/storehouse when needed
  • Work closely with Ahmek and Wapomeo Directors in the summer to ensure the camp is running smoothly; act as the main point person for them in regards to camper parents, camper cabin groups, program supplies and general supplies
  • Input/keep track of all camper charges in Campbrain, including tuck shop, medical, transportation etc.
  • Make sure all camper notes from the off season are passed on to Ahmek and Wapomeo directors prior to summer season start
  • Collect and respond to feedback during the off season, passing all relevant information to the Ahmek and Wapomeo Directors
  • Design tuck shop items for each year; arrange purchase; sell items in the off season; supervise tuck shop coordinators in the summer with regards to inventory and sales
  • Organize the facilitation of parent letters in the summer (i.e. lists, addresses, supplies and labels)
  • Update Website with information pertaining to camper parents (i.e. transportation info, camp guide, rates & dates – summer & sept camp)
  • Facilitate April mailing starting April 1st (i.e. Baggage Tags, stickers, tuck shop, mailing labels, stamping and mailing)
Qualifications

  • A quick learner, flexible, adaptable
  • Proficient with Word, Excel, various Social Media platforms and camp software
  • Strong customer service skills
  • Passionate about children’s summer camp and the outdoors
  • Summer camp experience is considered an asset
  • Ability to relocate to Canoe Lake for June, July, August and September

Compensation varies depending on experience but includes a Health Benefits package and three (3) weeks paid vacation in addition to paid time off in lieu of additional time worked during the summer months.
