Overview

We are seeking a highly organized and detail-oriented Site Construction Administration Coordinator to support site administration throughout the project lifecycle with one of our clients, a major oil and gas company, in Prince Rupert, BC, for a 1-2 year contract.

This role is critical in ensuring smooth operations by managing logistics, documentation, and coordination between contractors, staff, and stakeholders. The ideal candidate will have strong administrative skills, proficiency in basic software tools, and the ability to multitask in a fast-paced construction environment.

Key Responsibilities

Onboarding & Personnel Coordination:

  • Manage onboarding for new hires, including camp bookings, travel arrangements, and site access.
  • Maintain staff shift registers and track contractor FTEs (Full-Time Equivalents).
  • Coordinate visitor logistics, including passes and site inductions.

Administrative & Office Management:

  • Oversee office supplies, printer maintenance, and in-town pickups.
  • Manage the Construction Manager’s meeting calendar and schedule flights for personnel.
  • Update contractor contact lists and handle travel authorization processes.

Logistics & Documentation:

  • Track fleet vehicles, including servicing and maintenance requirements.
  • Process consumable material/service requisitions for the project.
  • Assist with IT request coordination and interface with Home Office (HO) administration.

Compliance & Reporting:

  • Ensure accurate record-keeping for site access (e.g., port authority passes).
  • Support data tracking and reporting as needed.
Qualifications & Skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Strong organizational and time-management skills.
  • Experience in construction, logistics, or project administration is an asset.
  • Ability to work independently and collaborate with cross-functional teams.
  • Valid driver’s license and reliable transportation (required for site access).
