Overview

Purchasing Administrative Assistant Trainee – ITDP Program

Location : Contract Management Office (CMO), Ottawa, ON

Type : Full Time

This position is part of Nasittuq’s Inuit Training and Development Program (ITDP), an 18-month program reserved for beneficiaries of the Nunavut, Nunatsiavut or Inuvialuit land claim groups, in line with our commitments under the North Warning System contract.

The ITDP is a structured program that combines on-the-job training with formal education and certification, as required for the role, designed to build skills and prepare incumbents for permanent employment opportunities. The duties below represent the scope of responsibilities for the permanent Purchasing Administrative Assistant role that the incumbent will be trained to perform within the 18-month period.

What You’ll Do

The Purchasing Administrative Assistant plays a vital role in ensuring the smooth operation of the procurement process. This position supports the purchasing team by managing administrative functions, maintaining accurate records, and facilitating communication between internal departments and external vendors. The role requires a high level of attention to detail, organizational skills, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities
  • Administrative Support : Perform accurate and timely data entry of purchasing information and documentation; maintain organized digital filing systems of vendor correspondence.
  • Purchasing Order Processing : Enter and track purchase orders in Oracle and Maximo systems, ensuring alignment between systems; monitor open purchase orders and follow up on outstanding items or discrepancies with suppliers and stakeholders.
  • Vendor and Internal Communication : Liaise with vendors to confirm order details and resolve delivery or invoicing issues; ensure compliance with internal procurement policies and procedures; assist in preparing documentation for audits or internal reviews.
Education
  • High School diploma (or equivalent)
Certificate(s) / License(s)
  • Beneficiary status under the Nunavut, Nunatsiavut or Inuvialuit land claim groups (required)
Knowledge Of
  • Strong organizational, communications, computer, problem-solving skills
  • Adaptability and ability to manage multiple priorities and work cross-culturally
  • Ability to speak Inuktitut (asset)
