Reporting to the Team Lead, Proposals & Marketing, Buildings West, the Proposal Coordinator plays a vital dual role, supporting our proposal team members in day‑to‑day coordination activities while also contributing directly to the development of high‑quality, compliant, and engaging submissions. You’ll collaborate with our proposal team, business development, and operations teams to produce proposals that reflect Bird’s technical excellence, collaborative culture, and commitment to clients and communities.

This role is perfect for someone who enjoys both the creative and organizational sides of proposal work, writing, editing, and design, combined with scheduling, coordination, and team support.

What You’ll Be Working On
  • Provide direct support to proposal team members, assisting with formatting, document setup, printing, and delivery.
  • Help maintain and update proposal libraries, templates, project sheets, and resumes.
  • Track proposal status, deadlines, and deliverables to help the team stay organized and aligned.
  • Assist with the collection and organization of project information for marketing and proposal use.
  • Contribute to process improvements, knowledge sharing, and lessons learned.
  • Support the preparation, coordination, and submission of Requests for Qualifications (RFQs), Requests for Proposals (RFPs), and Expressions of Interest (EOIs).
  • Review and interpret RFP/Q requirements, create response checklists, and coordinate inputs from multiple contributors.
  • Draft, edit, and format proposal sections, resumes, and project profiles using established templates and brand standards.
  • Compile, proofread, and finalize all materials for on‑time, polished submissions.
  • Assist in developing creative, well‑structured written content that clearly conveys Bird’s strengths and value.
What You Bring to the Team
  • 1–3 years of experience in proposals, marketing, or administrative support, preferably in construction, engineering, or architecture.
  • Excellent organization and time management skills with the ability to manage multiple priorities.
  • Strong written and verbal communication skills with keen attention to detail.
  • Proficiency in Adobe InDesign and Microsoft Office Suite; familiarity with SharePoint or CRM tools (Microsoft Dynamics) is an asset.
