Qualifications

  • Understanding foundational principles related to administrative tasks.

Responsibilities

  • Provide Program Management Team with weekly claim status reports.
  • Coordinate travel needs for Project and Program Managers.
  • Manage project documents and activities.
  • Document meeting minutes and formalise project documents.
  • Send customer surveys and ensure signed documentation.
  • Answer queries and provide project information as directed.
  • Manage project information and data.
  • Support with billing and invoicing for the project.

Job Description

Project Administrator applies sound knowledge of the area to independently perform work within the scope of established practices and procedures. Responsible for providing administrative support to the Project Manager(s) on an assigned basis to create, submit, file, and organize all project documentation and other related drawings, records, reports, meeting minutes, and correspondence.

This position requires immediate Canadian Controlled Goods Program (CGP) security clearance; therefore only Canadian Citizens or Permanent Residents will be considered at this time.

Major Responsibilities & Duties
  • Provide Program Management Team with weekly claim status reports for files and KPI updates for clients and projects;
  • Coordinate, schedule and book travel needs for Project and Program Managers;
  • Manage, monitor and maintain project documents and activities for project personnel via electronic file sharing and hard copies;
  • Record and document meeting minutes. Prepare, edit and formalise all project related documents and minutes for key stakeholders;
  • Send out customer surveys, warranties and ensure signed documentation of all work is completed;
  • As directed by the Program Manager, answer queries and provide project information to customers;
  • Ensure efficient management, documented communication, and timely completion of projects;
  • Set up and maintain accurate project information and data including downloading, labelling, sorting, scanning, and uploading of various files and photos;
  • Manage multiple priorities ensuring all administrative deadlines and paperwork submissions are complete;
  • Support with billing and invoicing for the project;
  • Other duties as required.

  • Requires a general understanding of the foundational principles and theories associated with the subject area and an ability to relate the concepts to the responsibilities of the job
