Summary

The role of the Production Coordinator is to manage the repair process from key to key. You will work with all departments within the collision facility to facilitate efficient repairs. Your main goal is to ensure a safe, efficient, and high-quality finished product.

Primary Objectives of the Role

  1. Coordinate repairs from start to finish.
  2. Maintain a sense of urgency regarding target completion.
  3. Adapt to changing priorities and moving targets.
  4. Keep technician staff efficient, track efficiencies, and allocate work to maximize throughput.
  5. Ensure technicians have what they need to proceed with repairs.
  6. Plan scheduled repairs proactively, having parts staged and paint codes/variants ready.
  7. Collaborate with all departments for smooth repair flow.
  8. Understand performance KPIs (Touch Time, Cycle Time).
  9. Focus on process improvements to eliminate bottlenecks.
  10. Conduct production or pitch meetings to set expectations and guide repair flow and targets.
  11. Prioritize repairs to meet shop targets.
  12. Assist with supplements as per shop policies.
  13. Research repairs against OEM procedures and ensure technicians have proper documentation.
  14. Hold production/pitch meetings with front-end staff to review WIP and communicate delays or progress to insurers and customers.
  15. Engage estimators with the technical team to improve estimating skills.
  16. Monitor shop safety and ensure health and safety guidelines are followed.
  17. Maintain shop cleanliness and proper disposal of hazardous materials.
  18. Perform quality control across all repair stages to ensure repairs meet estimates.
  19. Participate in scheduling to balance workload efficiently.
  20. Ensure vehicles are stored safely, covered, and locked as required.
  21. Arrange sublets such as calibrations, tinting, PDR, wheels, alignments, and film applications.
  22. Identify opportunities for advanced repair planning (ARP).

Requirements

Technical Knowledge:

  • Proficient with Mitchell Connect and Audatex software.
  • Understand the repair process flow.
  • Deep knowledge of OEM procedures.
  • Knowledge of health and safety guidelines.

Qualifications and Experience:

  • Up-to-date compliance training (AODA, WHMIS, Workplace Violence, Harassment, PIPEDA).
  • 2-3 years experience in automotive or collision repair industry.
  • Valid Class 5 driver’s license.
  • Knowledge of insurance DRP practices.
  • ICAR training (specify type) is an asset.
  • Proficiency in Microsoft Office and relevant software.
  • Professional appearance and excellent customer service skills.
  • Experience with advanced repair planning systems.
