Overview
The Spa Experience Coordinator at The Post is responsible for the operational excellence and guest satisfaction of our luxury spa facility. This role focuses on coordinating daily operations, scheduling, and maintaining exceptional service standards while working collaboratively with our therapeutic team and Lead Therapist.
Duties and Responsibilities
- Daily Operations & Guest Services: coordinate daily spa operations, ensure smooth scheduling and optimal guest flow; coordinate bookings within the Jane App to maintain an organized, non-biased schedule; establish standard operating procedures for all staff; oversee guest check-in, checkout, and payment processes; facilitate communication between guests and treatment providers to meet guest preferences and needs; process retail transactions and maintain accurate sales records; track and report spa performance metrics including booking rates and guest satisfaction.
- Housekeeping & Facility Management: liaison with Executive Housekeeper; oversee linens and inventory (PARs); collaborate with Housekeeping to maintain cleanliness of the Spa; ensure compliance with health and safety protocols and maintain a clean, welcoming environment; manage spa equipment maintenance and report needs.
- Guest Relations & Problem Resolution: work with GM to resolve guest inquiries, feedback, and concerns with professionalism and attention to detail.
- Procurement & Inventory Management: coordinate spa supply and retail item ordering with the Director of Procurement; manage vendor relationships and communications under procurement oversight; follow inventory control protocols; maintain inventory of all spa products, supplies, and retail items; obtain approval for new items as needed.
- Marketing & Technology Coordination: collaborate with Marketing on promotions, packages, and offers; oversee back-end administration of Jane app and ensure treatments are bookable online; coordinate with Marketing to update signage and websites to reflect offerings accurately.
- Team Collaboration: work with the Lead Therapist to ensure seamless spa operations and uphold service standards; collaborate with the therapeutic team to maintain exceptional service.
Qualifications
- Minimum 1 year of experience in spa coordination or related hospitality role
- Strong organizational and administrative skills with attention to detail
- Excellent guest service and communication abilities
- Proficiency in spa scheduling software and POS systems
- Strong knowledge of spa operations and wellness industry trends
- Experience in inventory management and retail operations
- Ability to maintain a calm, professional demeanor in a fast-paced environment
- Knowledge of Relais & Châteaux standards is an asset
- Post secondary education in hospitality or related field is an asset
- Understanding of procurement processes and ability to work within vendor relationship protocols
