Position: Parts Payable Coordinator

Location: Corporate Offices in Ajax, ON

The VGCA Accounting Shared Services Centre provides essential back-office accounting functions for General Ledger, Inventory, Accounts Receivable and Affiliates, Accounts Payable, and Fixed Assets for multiple VW group companies including Volkswagen, Audi, Bentley, Lamborghini, factory production, and electric vehicle infrastructure.

The Parts Payable Coordinator is responsible for ensuring the accurate and timely processing of domestic parts vendor invoices in accordance with corporate policies and procedures, effectively and efficiently for Volkswagen Group of America and Volkswagen Group Canada.

Responsibilities
  1. Ensure all assigned domestic invoices (Spot Buy, Scheduling Agreements, and Drop Ship) are prepared, audited, and posted in the system within the established payment and month-end timelines.
  2. Assist with posting of FSP monthly parts invoices.
  3. Ensure accuracy of automated oil billings through daily/monthly query analysis.
  4. Coding and logging all manual purchase order or scheduling agreement invoice discrepancies.
  5. Prepare, send, and track any EDI invoice discrepancy correspondence to vendors with clearly identified actions and requirements for resolutions.
  6. Support in good receipt and price discrepancy invoicing by assisting in updating trackers and following up with vendors.
  7. Support Parts Inquiry mailbox as needed.
  8. Identify and communicate opportunities for process improvement, always striving for automated, error-free, and efficient processes.
  9. Ensure that all domestic parts invoice process and desk procedure documentation are prepared, tested, and maintained.
  10. Support on ad hoc requests for other reports, reconciliations, and related duties.
  11. This is a hybrid flex position.
Qualifications
  • Bachelor's degree or college diploma in Business, Accounting, or a related field.
  • 1+ years of relevant Accounts Payable experience.
  • Proficient in all Microsoft Office products.
  • Excellent customer service skills with clear and professional communication in person, over the phone, and via email.
  • Excellent attention to detail, organization, and time management skills.
  • Positive attitude and ability to work effectively within a team environment.
  • Focus on process optimization and improvement.
  • Working knowledge of SAP is an asset.
  • Previous parts logistics and/or inventory experience is an asset.
