Job Details

Founded in Kingston in 1954, Homestead Land Holdings Limited has grown to become one of Canada’s largest and most respected landlords. The founding principles of the company are still in place today, which are to provide residents with affordable, secure housing with a standard of care in which we would treat our own family members.

The Paralegal will work in conjunction with management in an advisory role regarding legal matters with residents. They will deal with a combination of arrears of rent collections, knowledge of representation at the Landlord Tenant Board and Small Claims Court regarding matters relating to resident disputes and social issues, and a Monday to Friday weekly schedule that includes four days in our branch office and one day working from home.

Responsibilities
  • Preparation of all legal documents recognized by the Landlord and Tenant Board (e.g. Form N4, N5, N6, N7, N8, etc.);
  • Attend and report at weekly meetings with management;
  • Offer resources to management regarding the Residential Tenancies Act, forms and procedures;
  • Review A/R calendar and advise and coordinate collections accordingly;
  • Print weekly A/R reports of outstanding balances provide copies to sites and management;
  • Maintain spreadsheets for files requiring legal action;
  • Follow up with phone calls and/or email for outstanding balances;
  • Monitoring payment plans made by tenants;
  • Follow up with site staff on payments made as a result of N4s;
  • File applications to the Landlord and Tenant Board to proceed with hearings;
  • Prepare all materials for hearings and represent the Landlord at the hearings;
  • Prepare and represent the Landlord for Tenant Applications, Motions and Reviews at Hearings;
  • Review chronic late‑paying tenants with managers and prepare and distribute Persistently Late Letters;
  • Liaise with housing authority to assist in housing and payment plans;
  • Liaise with family and community resources regarding circumstances surrounding unique evictions;
  • Defend claims in small claims court;
  • Complete monthly Bad Debt record, and prepare and send past tenant files to collection agency;
  • Maintain reports regarding collections;
  • File Orders with Sheriff’s office in person at various locations;
  • Other assigned duties as required.
Requirements
  • Must maintain their Law Society License in good standing at all times and must comply with the Paralegal Rules of Conduct;
  • 2 to 3 years of office experience;
  • Experience dealing with Landlord and Tenant matters is an asset;
  • Proficient in Word & Excel, and Yardi Voyager Accounting System;
  • Complete knowledge of the Residential Tenancies Act, 2006 is an asset;
  • Competent in Small Claims Practice and Procedures is an asset;
  • Complete knowledge of the Statutory Powers Procedure Act is an asset;
  • Familiar with the Freedom of Information & Privacy Act is an asset;
  • Ability to work in a team environment;
  • Possess excellent communication skills, both written and verbal;
  • Ability to meet deadlines;
  • Willing to travel.
