Job Description

We are seeking a versatile Office Administrator for a dynamic multi-faceted role supporting multiple companies under the same parent organization. This is an exciting opportunity based in Beechville NS to join a progressive and supportive team that values client service employee engagement initiative efficiency and operational excellence offering exposure to a wide range of administrative and operational functions.

Key Responsibilities
  • Serve as receptionist answering and redirecting phone calls emails and visitors
  • Control access to the office and maintain office security
  • Manage incoming and outgoing mail office supplies and equipment
  • Assist with accounts receivable including creating and distributing invoices tracking payments and following up on outstanding balances to ensure cash flow
  • Support scheduling and coordination of service appointments and client communications
  • Maintain and update client information conduct client satisfaction follow-ups and manage service records
  • Assist with financial recordkeeping including credit card reconciliations documenting purchases and maintaining files
  • Prepare and maintain office safety materials bulletins and documentation for audits and certifications
  • Create schedule and manage engaging social media content across platforms
  • Support general administrative tasks such as scanning spreadsheet creation and document management
