Position Overview:
As the Medical Office Manager, you will play a critical role in ensuring the efficiency of clinic operations, staff management, patient scheduling, and financial processes. This role requires strong leadership, problem-solving abilities, and the ability to manage a team of healthcare professionals in a demanding, fast-moving setting.

Responsibilities
- Oversee the day-to-day functions of a busy OB/GYN clinic, ensuring efficiency and high-quality patient care.
- Manage patient scheduling, electronic medical records (EMR), and administrative workflows.
- Ensure compliance with healthcare policies, regulations, and privacy laws (PHIA, HIPAA).
- Collaborate with physicians and clinical staff to streamline operations and enhance the patient experience.
- Lead, recruit, train, and supervise front desk and administrative staff.
- Conduct performance evaluations and provide professional development opportunities.
- Foster a collaborative, patient-focused workplace culture.
- Oversee the patient intake and appointment processes to ensure a smooth and welcoming experience.
- Address patient inquiries, concerns, and feedback with professionalism and empathy.
- Implement strategies to improve patient satisfaction and operational flow.
- Manage clinic and physician billing processes, ensuring timely submissions and compliance with healthcare billing guidelines.
- Oversee general accounting, payroll, expenses and reconciliation.
- Respond to Manitoba Health inquiries and oversee insurance claims processing.
- Oversee budgeting, invoicing, and financial reporting to maintain the clinic’s fiscal health.
- Maintain medical supply inventory, office equipment, and vendor relationships.
- Coordinate facility maintenance, repairs, and office upgrades as needed.
- Identify and implement workflow enhancements to improve efficiency.
- Ensure adherence to privacy regulations, patient confidentiality policies, and best practices in healthcare administration.
Qualifications
- Proven experience in healthcare administration, office management, or a similar leadership role in a medical setting. Experience in OB/GYN or women’s health is highly preferred.
- Excellent organizational and multitasking skills to handle a high-volume, fast-paced environment.
- Strong leadership abilities to manage and motivate staff while ensuring operational excellence.
- Familiarity with medical terminology, EMR systems (Libre MD is an asset), and healthcare policies.
- A background in business administration, healthcare management, or a related field (Bachelor’s degree preferred).
- Outstanding communication skills to liaise with physicians, staff, and patients effectively.
- Proficiency in Quickbooks.
