Maxwell Management Group Ltd. is proud to partner with Kitchener-Waterloo CardioPulmonary Services (KW CPS) in search of a Manager, Clinical and Administrative Operations to join their team.

About:

Kitchener-Waterloo CardioPulmonary Services (KWCPS) is an independent, accredited outpatient diagnostic facility providing high-quality cardiac and pulmonary testing to the Kitchener-Waterloo region since 1988.

With dedicated cardiac and pulmonary sites at The Boardwalk in Waterloo, KWCPS is home to a multidisciplinary team of nearly 100 staff and over 30 physicians. We’re proud of our patient-centred, collaborative, and innovative approach to care, and we’re expanding to meet the growing needs of our community.

Position Overview:

We are seeking an experienced Manager, Clinical and Administrative Operations to oversee the day-to-day operations, business functions, and staff management of our growing organization.

While some familiarity with the clinical environment is helpful, this position is primarily focused on operations, finance, human resources, and physician relations. The successful candidate will provide leadership across teams, streamline administrative processes, and ensure smooth coordination between staff and physicians.

Responsibilities:
  • Operational Leadership
    • Lead and coordinate day-to-day operations across administrative and clinical departments.
    • Supervise department leads and support process improvement and quality initiatives.
    • Oversee scheduling and workflow to ensure efficient use of resources.
  • Financial & Business Management
    • Manage payroll (biweekly via ADP) and timecard accuracy.
    • Support budgeting, cost-sharing, and financial reporting with the bookkeeper.
    • Oversee physician payments and medical billing (OHIP and non-OHIP) using EMR systems.
    • Manage benefits administration, wage adjustments, and HR record-keeping.
  • Human Resources
    • Lead recruitment, onboarding, and performance management for staff and department leads.
    • Coordinate annual and government-mandated training.
    • Foster a positive, inclusive, and collaborative workplace culture.
  • Physician & Stakeholder Relations
    • Serve as a key liaison with physicians and their administrative teams.
    • Support physician onboarding and transitions.
    • Maintain strong relationships to ensure effective communication and smooth operations.
  • Compliance & Governance
    • Serve as the organization’s Privacy Officer, ensuring compliance with healthcare regulations.
    • Oversee EMR governance and vendor coordination.
    • Participate in Joint Health & Safety Committee (JHSC) activities and audits.
Qualifications:
  • Post-secondary education in Business Administration, Healthcare Management, or related field.
  • 5+ years of experience in operational or office management, ideally in healthcare.
  • Proficiency in ADP payroll, or similar billing systems, and EMR platforms.
  • Strong financial and business management skills, including budgeting and reporting.
  • Proven leadership experience managing multiple teams or departments.
  • Excellent communication, relationship-building, and problem-solving skills.
  • Clinical familiarity is an asset but not required.
