The Position
Reporting to the Production Manager, the Logistics Specialist supports timely, compliant, and cost‑effective shipment of Intellijoint products to customers in North America and beyond. This role is critical to ensuring customers receive their orders on schedule and that shipments comply with regulatory standards.
Ideal candidate has hands‑on experience in regulated logistics environments, thrives in cross‑functional settings with Production, Quality, Finance, and external logistics partners, and takes ownership to resolve shipping challenges to ensure uninterrupted delivery to customers.
Main Duties
Order Fulfilment
- Process and manage customer orders with timely and accurate data entry
- Generate production orders and coordinate delivery schedules to meet customer requirements
- Maintain customer records and documentation in Salesforce, including packing slips and required custom invoices
- Issue invoices upon shipment and support general administrative tasks for customers
Logistics and Shipping
- Prepare all required documentation for domestic and international shipments, including commercial invoices, packing lists, bills of lading, and customs forms
- Serve as the primary point of contact for arranging transportation and coordinating with couriers, freight forwarders, and shipping carriers
- Track inbound and outbound shipments; resolve delays, including FDA or customs issues and implement contingency plans when needed
- Manage import/export activities in compliance with FDA, CBP, and ISO 13485 regulatory requirements
- Process product returns, including creation of RMAs, and collaborate with the Quality team to address production or product‑related issues
- Track and report logistics KPIs, identifying trends, risk, and opportunities for operational improvement
- Approve shipping invoices and collaborate with Finance to validate shipping costs
- Identify opportunities for rate optimization when renewing contracts
- Support the setup and implementation of new global shipping logistics as the company enters new markets
- Contribute to ERP activities, including system implementation and continuous process improvements related to order fulfilment and logistics
Operations & Production Support
- Provide operational support by maintaining accurate and up‑to‑date document records in shared folders, ensuring timely updates and adherence to compliance requirements
- Assist with receiving and inspecting incoming raw materials
- Collaborate with the Production Manager to plan production activities and monitor workflow to ensure timely delivery
- Assist with routine cycle counts and adjust inventory discrepancies
- Engage in cross‑functional collaboration with Production, Supply Chain and other departments to support operational needs and resolve issues efficiently
- Provide coverage for Production team members as needed (e.g., vacations) to ensure continuity of operations
Skills and Experience to Enable Success
- 3+ years of experience in logistics, shipping, order fulfilment, and/or operations in a regulated industry (preferably ISO 13485)
- Experience managing domestic and international shipments, including preparation of commercial invoices, packing lists, bills of lading, and customs documentation (experience supporting global expansion highly desirable)
- Working knowledge of import/export regulations, including FDA, CBP, and ISO 13485 requirements
- Experience coordinating with couriers, freight forwarders, and shipping carriers, and resolving shipment delays or customs issues (exposure to rate negotiations or contract renewals highly desirable)
- Strong order management experience, including accurate data entry, invoicing, and customer documentation
- Proficiency with ERP systems and CRM tools (e.g., Salesforce) for order processing, inventory and shipment tracking (ERP implementation experience highly desirable)
- Experience processing returns and RMAs, with an understanding of quality and regulatory considerations
- Ability to track, analyze and report logistics KPIs to identify risk and improvement opportunities
- Attention to detail, strong organizational skills and ability to manage multiple priorities in a fast‑paced environment
