Salary : At Wawanesa salary is only one component of a holistic comprehensive offering. Job Overview

The Senior Executive Assistant provides advanced administrative support to the SVP Chief Information & Technology Officer while exercising good judgment, maintaining confidentiality, and ensuring professional representation of the company.

Job Responsibilities
  • Manages SVP’s calendar by effectively scheduling and prioritizing meetings, handling conflicts, and monitoring deadlines; prepares and compiles documents, presentations, reports, and statistics, including conducting research on behalf of the leader and ensuring deadlines are met (e.g., Board materials).
  • Coordinates meetings: prepares agendas, compiles and distributes documents, invites internal/external guests, arranges catering, sources meeting location, and arranges AV equipment needs.
  • Establishes and maintains organized, confidential electronic and paper-based filing systems for current and accessible information.
  • Interacts with senior external stakeholders such as board members, professional associations, senior members, and internal executive leadership team members.
  • Manages and prioritizes document preparation and incoming correspondence, including e-mail management; exercises appropriate judgment and confidentiality; responds on behalf of the leader as appropriate.
  • Provides direction to SVP direct reports to ensure deadlines are met (e.g., data gathering for SVP documents and reports).
  • Exercises proxy authority for SVPs across processes and technology tools, including staff transactions, pay transactions, and expense approvals.
  • Coordinates and manages departmental meetings and team events; prepares agendas, documents, action items, and follows up to close items.
  • Provides backup to other Senior EAs as needed.
  • Conducts research and creates reports on topics as required by the SVP.
  • Meets regularly with other members of the Senior EA team to build rapport and improve service delivery to the SVP.
  • Prepares and formats various types of outgoing correspondence for signature.
  • Coordinates travel arrangements and ensures expense submissions align with guidelines and policies.
  • Records, transcribes, and distributes minutes of meetings and follows up on action items.
  • Collaborates with peers, business partners, and leaders to support strategic and engagement initiatives as needed.
  • Streamlines and documents processes and procedures to create efficiencies.
  • Other duties, projects and executive support as assigned.
Qualifications
  • Minimum 5 years experience in a senior executive support role.
  • Related post-secondary education strongly preferred.
  • Strong general computer skills with basic IT troubleshooting abilities.
  • Strong MS Office skills (Word, Excel, PowerPoint).
  • Ability to maintain a high level of discretion when handling confidential information.
  • Strong verbal and written communication skills with the ability to interact with internal and external customers at all levels.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Ability to manage multiple projects and reprioritize as needed.
  • Attention to detail and accuracy in work.
  • Familiarity with the Property & Casualty insurance industry is an asset.
