Role Description: The Inside Sales Representative position is multifaceted, combining sales support, administrative coordination, and technical assistance. This role supports the outside sales team by identifying opportunities, reviewing project specifications and drawings, contributing to proposal development, and managing internal booking processes. The ideal candidate is detail-oriented, technically inclined, and collaborative, with the ability to work across departments in a fast-paced environment.

Responsibilities
  • Research, identify, and track bid opportunities through online bid/specification platforms and construction opportunity databases.
  • Collaborate with outside sales representatives to review project documentation, perform take-offs, and interpret engineering drawings to support accurate estimates.
  • Support the proposal development process by assembling documentation, technical references, compliance materials, and formatted proposal packages.
  • Coordinate with Sales and Booking teams to ensure the internal booking process for awarded projects is accurate, complete, and submitted on time.
  • Act as a liaison between outside sales and internal teams—including design/engineering, operations, and finance—to align on project requirements, timelines, and deliverables, including providing coordination support during hand-offs and status updates.
  • Assist with customer communications (e.g., documentation follow-ups, confirmations, clarification requests) and help troubleshoot or escalate issues that may affect proposal or booking timelines.
  • Contribute to the continuous improvement of sales support tools, templates, processes, and participate in ad hoc initiatives as directed by sales leadership.
Basic Qualifications
  • High School Diploma / GED.
  • 2+ years experience supporting sales, inside sales, or administrative roles—preferably within the building automation / HVAC mechanical industry.
  • 2+ years experience with Microsoft Office Suite at a proficient level.
Preferred Qualifications (assets)
  • Ability to read and interpret engineering drawings and specifications.
  • Strong attention to detail with excellent organizational skills.
  • Strong written and verbal communication skills.
  • Comfortable collaborating across multiple departments and remote team members.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Experience with design/engineering, estimating and CRM tools are a plus (Examples: Bluebeam, Salesforce).

Pay Range

The expected base salary range for this role is between $71,500 and $121,500. The rate of pay may be impacted by factors such as geographic location, market data/range, skills, prior relevant experience, job-related knowledge, specific degrees and certifications, and/or other relevant considerations.

This compensation includes components such as base salary, vacation pay, public holiday pay, potential estimated overtime pay and paid statutory leaves of absence. Additional benefits may include insured benefits such as health care, vision, dental, disability, as well as possible RRSP matching.

Other Compensation

This role may also provide the opportunity to earn additional incentive compensation in the form of annual bonus, sales bonus, sales commission or local incentive. If provided, it will be based on measurable performance factors which may include company performance, individual performance or other key performance indicators.
