About the role

The Office Manager/Executive Assistant is responsible for providing support to the General Manager of Reckitt Canada Hygiene/Home, as well as managing office facilities, health & Safety, the annual business calendar, and meeting, travel & event planning.

The responsibilities
  • Handles the following administrative needs of the GM: calendar/meeting coordination, travel planning and expenses, correspondence, office administration and visitors.
  • Support with the company calendar, and critical meetings in collaboration with respective functions such as Sales, Marketing etc to ensure business meetings are seamless
  • Coordinates the administrative planning of meetings such as Town Hall, Leadership Team meetings and Senior Leadership Group meetings
  • Leads health & safety program to ensure compliance with corporate and legislative requirements
  • Main liaison with property manager
  • Office repairs and maintenance
  • Pantry management
  • Renovations as needed
  • Purchasing, Pcard management for company events
  • Assistance with onboarding of new employees including but not limited to workspace set-up, badge creation etc
The experience we're looking for
  • Strong interpersonal and communication skills with proven ability to coordinate and work with various people both internal and external to the organization.
  • Strong organization skills and ability to multi-task.
  • Ability to influence without formal authority.
  • Excellent judgment, problem solving, verbal and written skills to effectively communicate with internal and external customers.
  • Deliver high-quality attention to detail to ensure data/information accuracy
  • Ability to maintain confidentiality
  • Effectively sets and adjusts priorities to address changing business objectives.
  • Works with minimum supervision, sets priorities, uses good initiative, follow-up and focuses on details.
  • 3-5 years minimum administrative experience preferably supporting a company’s executive.
  • Relevant work experience with skills developed that can be transferred or applied for the key responsibilities and accountabilities outlined in this posting.
  • Proficient in Microsoft programs such as word, excel & powerpoint
  • This role is not currently sponsoring visas or considering international movement at this time.
