Job Description
The Executive Assistant (EA) will provide high-level administrative support to the President/CEO, ensuring that their time is used efficiently and effectively. This role requires a proactive, detail-oriented individual who can manage competing priorities, anticipate needs, and work independently to provide seamless assistance in all aspects of the executive’s professional and personal obligations. The ideal candidate will be a strong communicator, highly organized, and able to maintain a high level of discretion.
Responsibilities to include the following, but not limited to:
Administrative Support:
- Manage and maintain executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle confidential and sensitive information with the utmost discretion and professionalism.
- Screen phone calls, emails, and other communications, directing them to the appropriate person when necessary.
- Organize and coordinate events, meetings, and conferences, both virtual and in-person.
Travel Coordination:
- Arrange detailed travel itineraries including flight, hotel, ground transportation, and meal planning.
- Ensure all travel logistics are seamless and in line with the executive’s preferences.
- Process expense reports and monitor travel-related costs.
Communication and Liaison:
- Act as the primary point of contact between the executive and both internal and external stakeholders.
- Maintain relationships with key contacts and stakeholders.
- Prepare agendas, meeting notes, and follow-up actions to ensure deadlines are met.
Project Management:
- Assist with project management tasks, including tracking progress, maintaining timelines, and organizing project-related documentation.
- Conduct research, compile data, and create reports as needed.
Office Management:
- Manage office supplies and equipment, ensuring the executive’s workspace is organized and well-maintained.
- Supervise office support staff, if applicable, to ensure smooth operations of daily activities.
Personal Assistance :
- Handle personal tasks and errands as required, including scheduling personal appointments, event planning, and personal travel arrangements.
- Maintain an organized filing system for both business and personal matters.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Minimum 5 (five) years of experience as an Executive Assistant to high level Professional
- Proven track record of supporting senior executives and managing a range of administrative functions.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and other relevant software.
- Familiarity with project management tools is a plus.
- Exceptional written and verbal communication skills.
- Ability to interact effectively with individuals at all levels within and outside the organization.
- Strong ability to prioritize, manage multiple tasks, and meet deadlines in a fast-paced environment.
- Exceptional attention to detail and high level of accuracy.
- Ability to anticipate challenges and proactively provide solutions to ensure smooth operations.
