Overview

Position: Executive Assistant

Reporting to: Vice President of Operations

Location: Saskatoon

X-Terra Environmental Services Ltd. is looking to fill the position of Executive Assistant in our Saskatoon office. X-Terra is a locally owned and operated company specializing in environmental assessment, reclamation and remediation for oil and gas, government and mining clients throughout Saskatchewan and Alberta. We are looking for a highly motivated self-starter to assist the managing directors and lead the day to day administration of our Saskatoon office.

Responsibilities
  • Manage and update the company website and social media sites
  • Leading the design and preparation of marketing materials
  • Company event planning
  • Answering and directing phone calls
  • Client reception, interaction, and support
  • Creating and maintaining file systems
  • Document preparation, review, editing and formatting using Microsoft Office and Adobe products
  • Overall office organization, cleanliness, and tidiness
  • Shipping and receiving
  • Purchasing supplies ranging from general office supplies to specialized equipment
  • Provide basic IT support
  • Equipment inventory and organization
  • Coordinating Equipment Maintenance (Trucks/Field Equipment/UTV’s)
  • PPE Inventory, and managing Equipment Assignments in SiteDocs
  • Safety administration, electronic filing, email management, and document control
  • Safety committee support, presentation preparation, statistics tracking and reporting
  • Prepare and moderate ongoing safety meetings
  • Assigning and conducting Equipment / Office Inspections / Training
  • Actively take part in the COR Safety Audit process
  • Overseeing the Safety Program & Reporting
  • SiteDocs Form Development and Updates
  • Support Internal/External Safety Audit Activity
  • Ongoing employee training tracking and training organization
  • Other duties and projects as required by the manager
Qualifications
  • Certificate in related discipline and 5 years related administrative support experience
  • Advanced proficiency with Microsoft and Adobe products, specifically Outlook, Word, Excel, PowerPoint and Acrobat
  • Strong interpersonal, time management, and organizational and communication skills
  • Experience in SharePoint, Drop box or FTP sites
  • Capable of working independently, taking ownership of tasks, and prioritizing workload
  • Experience with IT systems and networking
  • Experience with ComplyWorks and ISN or other safety tracking databases considered an asset
  • Experience with SiteDocs or other safety program platforms considered an asset
