Bevo Farms Ltd is the largest supplier of propagated plants in North America, providing greenhouses, field farms, nurseries, and wholesalers across the continent with healthy, vigorous, pest-and-disease-free plants. Bevo operates three sites in the lower mainland of British Columbia and two facilities in the province of Alberta.

Position Summary

We are seeking a highly organized and proactive Executive Assistant to support senior leadership in a fast-paced, seasonal, and operationally intensive agricultural environment. This role requires exceptional attention to detail, the ability to manage shifting priorities, and a high level of professionalism. The Executive Assistant will be responsible for managing calendars, coordinating travel, planning key internal and external events, and supporting general office operations to help ensure efficient execution across the leadership team.

Key Responsibilities
  1. Calendar & Meeting Management
    1. Coordinate and maintain calendars for executives with a strong understanding of time-sensitive operational needs.
    2. Schedule internal and external meetings
    3. Organize meeting agendas, record minutes, and follow up on action items.
  2. Travel & Site Visit Coordination
    1. Arrange complex travel plans for multi-site agricultural operations, including flights, hotels, and ground transportation.
    2. Prepare travel packages with detailed itineraries and contingency plans.
    3. Coordinate site tours and vendor visits across greenhouse locations.
  3. Event Planning & Execution
    1. Support planning of company-wide events such as field days, customer tours, board meetings, and staff appreciation events.
    2. Manage logistics, catering, venue selection, materials preparation, and vendor communication.
    3. Maintain project timelines and ensure alignment with agricultural production schedules.
  4. Office & Administrative Support
    1. Support leadership with expense tracking, invoice approvals, and correspondence.
    2. Manage and organize electronic and physical files
    3. Handle confidential information with discretion and professionalism.
  5. General Operations Support
    1. Serve as liaison between executive leadership and site-level operations teams.
    2. Assist with onboarding of new employees and contractors during peak hiring periods.
    3. Maintain inventory and coordinate ordering of office and site supplies as needed.
    4. Lead the replacement and distribution of company promotional items
Qualifications & Skills
  • 3+ years of experience as an Executive Assistant or high-level administrative professional, preferably in an agricultural, food production, or manufacturing setting.
  • Strong organizational and time management skills
  • Excellent communication skills (written and verbal).
  • Proficiency with Microsoft Office Suite and collaboration tools (e.g., MS Teams).
  • Comfortable in both corporate and production/farm environments.
  • Discretion and ability to manage sensitive and confidential information.
Preferred Qualifications
  • Experience supporting C-level executives in a multi-site business.
  • Background in agriculture, horticulture, food production, or related industries.
