Compliance Specialist

Full Time Support Group Staff

Atlantic, Ontario, or Manitoba – CA (Work from home)

Pinchin is recruiting for a Compliance Specialist to join the Finance & Administration department in Canada. We are looking for a highly organized individual to join on a full-time basis. This position can be based out of Atlantic, Ontario, or Manitoba on a remote or hybrid basis. The Compliance Specialist will provide backup support to our Security Clearances team and perform additional ad hoc duties as required.

A Day in the Life of a Compliance Specialist at Pinchin:
Vendor Onboarding
  • Respond to all requests for vendor onboarding and evaluate vendor submissions to ensure they meet Pinchin’s requirements.
  • Enter vendor setups in the operating system (Vision), ensure accuracy, and maintain detailed records.
  • Liaise with Accounts Payable during payment cycles.
  • Follow guidelines and seek exception reviews from our risk team when necessary; communicate regularly with executive-level employees.
  • Track WSIB and WCB for all vendors using each province’s online database; update Vision for vendors out of compliance.
  • Analyze and verify the consistency, completeness, and accuracy of vendor and insurance data.
Client Onboarding
  • Ensure all client requests are handled accurately and efficiently within acceptable turnaround times.
  • Serve as the point of contact and compile information for annual prequalification documentation.
  • Interact with potential clients to gather information for setting up in SharePoint (Client Grove) and Vision.
  • Review client-provided information against Pinchin’s engagement criteria, such as retainer policies.
  • Maintain the ‘Client Grove’ (SharePoint database).
  • Identify opportunities to enhance, streamline, and automate the client engagement process.
  • Collaborate with Accounts Payable, Safety, IT, Security, and other departments to gather necessary information.
  • Respond to client requests professionally and promptly.
Insurance
  • Understand RFP/Tender documents and prepare insurance certificates as per client requirements, liaising with our Insurance Broker for complex requests.
  • Prepare WSIB and WCB Clearance Letters upon request.
Security Clearances
  • Assist the Security Clearances Team with maintaining employee and organization security clearances, ensuring compliance with company, government, and client security requirements.
What You Bring to the Pinchin Team:
  • Understanding of insurance and risk mitigation, or strong problem-solving skills with the ability to learn insurance concepts.
  • Good judgment and critical thinking skills for investigating and solving problems.
  • Ability to work independently with minimal supervision.
  • Excellent interpersonal skills.
  • Post-secondary education with at least 5 years’ experience in administration preferred.
  • Proficiency with Microsoft Office Suite.
  • Ability to obtain PWGSC Secret (Level II) Security Clearance, with no criminal record and residence in Canada for the past 5 years.
  • Capability to complete and maintain certification in the PSPC Controlled Goods Designated Official Certification Program.
  • Maintain confidentiality and professionalism.
