Overview

The hired person will be responsible for overseeing the strategic and day-to-day management of the clinic's technological infrastructure and systems. This includes maintaining and optimizing the electronic health records (EHR) platform, ensuring data security and regulatory compliance, managing user access and training, and leading the implementation of new technologies. The role involves close collaboration with clinical and operational teams to support the integration of technology into service delivery as well as coordinating with external vendors to maintain and enhance IT resources. The manager also plays a key role in developing and executing technology strategies that align with the clinic's goals for growth, efficiency and high-quality client care. The Business Development & Systems Manager will report primarily to the Chief Financial Officer and will be expected to work in close collaboration with clinical and administrative staff, the Operations Manager, the Clinical Manager and the clinic directors.

Reporting to the Chief Financial Officer, the manager will collaborate with clinical, administrative, operational staff, and clinic directors.

Job Status

Please note that this role will begin as maternity leave coverage. When the team member returns there is a strong possibility that the successful candidate will continue with the organization in a longer-term capacity. The exact nature of that ongoing role will depend on several factors including organizational needs at the time, their evolving technology roadmap and the fit between the candidates skills and the direction of their systems development work. Our client anticipates that there may be opportunities potentially substantial for the successful candidate to support key operational digital infrastructure and AI‑integration initiatives as their practice continues to grow. Candidates with strong technical aptitude, an interest in project management and a desire to contribute to system-level improvement are especially encouraged to apply. While they cannot guarantee the precise shape of the post‑coverage role they want to signal that there is meaningful potential for a longer‑term pathway for the right person aligned with the next phase of their practices technology and workflow evolution.

Qualifications

Required Qualifications

  • College or University degree in IT or a related field or equivalent professional experience supporting technology systems in a healthcare or similar environment.
  • Minimum of 1-3 years of relevant experience.
  • Strong technical skills including managing hardware, software, networks and cloud‑based systems.
  • Experience working with electronic health records (EHRs) and comfort supporting clinicians and administrative staff in a regulated setting.
  • Knowledge of privacy and data protection requirements (e.g. PHIPA, PIPEDA) and a commitment to safeguarding sensitive information.
  • Proven ability to troubleshoot and resolve system issues with a calm, solutions‑focused approach.
  • Experience with system implementation, onboarding users and training teams on new technologies.
  • Confidence managing user access permissions and system security in a clinical context.
  • Experience coordinating with external vendors and overseeing equipment procurement or maintenance.
  • Strong communication and collaboration skills with the ability to translate technical concepts into clear, supportive guidance for staff.
  • A proactive mindset bringing forward ideas for system improvements and supporting the clinic's long‑term technology goals.
  • Excellent organization and attention to detail with the ability to manage multiple priorities in a fast‑paced clinic setting.

Preferred Qualifications

  • Confidence managing user access permissions and system security in a clinical context.
  • Experience working in a mental health or healthcare environment with an understanding of the unique technology needs of clinical teams.
  • Familiarity with EHR platforms commonly used in community or private clinics and comfort optimizing workflows within these systems.
  • Training or certification in cybersecurity, network administration or health informatics.
  • Experience developing or refining technology policies and procedures including security protocols and disaster‑recovery plans.
  • Skills in data analysis or reporting supporting decision‑making for clinical, operational or quality‑improvement initiatives.
  • Experience leading or supporting technology‑related projects from planning and rollout to staff training and follow‑up.
  • Comfort navigating vendor negotiations, contract reviews or procurement processes in a clinical setting.
  • A strong interest in emerging technologies relevant to mental health care and digital service delivery.
  • Experience supporting change management helping teams adapt to new systems with clarity and confidence.
