Job Summary
The Building Services Coordinator provides a wide variety of administrative and staff support services to Building Services Contractors and all CSA Group departments. It assists in the preparation and control of records, statistics and reports regarding operations and building services assets. It administers programs, projects and/or processes specific to the operating unit served. It liaises with others within CSA Group regarding company administrative issues related to purchasing, personnel, facilities and operations. It tracks Facility Services requests and ensures requests are completed. It liaises and coordinates with all external contractors. The nature and sensitivity of various duties requires a high degree of confidentiality.
Responsibilities
- Assists departments with quotes for furniture.
- Coordinates moves and construction to minimize staff/operations disruption.
- Coordinates Life Safety testing to meet legislated requirements and to minimize disruption to staff/operations.
- Coordinates and schedules external contractors for services required.
- Supports the organizational areas’ administrative requirements on a day-to-day basis with emphasis on work ticket creation and deployment of requests to the appropriate staff.
- Provides general office support to the Facility Manager by creating and generating reports based on utility use or budget tracking sheets, maintaining files and records, and maintaining the operational contract files; opens mail, distributes mail, faxes and courier shipments; may prepare overhead presentations as required.
- Acts as a problem identification and resolution resource, answering questions, providing guidance, troubleshooting and following up with staff; coordinates between functions/departments as required to facilitate problem resolution.
- Creates and maintains forms, templates and procedure manuals, requiring specialized knowledge of a variety of functions; provides guidance to staff using the forms and templates.
- Plans, arranges and coordinates meetings, training sessions, presentations, conferences or other group events; prepares meeting notices, agendas, minutes and correspondence.
- Provides administrative and procedural support for the group and the Division, including completing and processing expense forms and assisting with coordinating staff attendance and vacation spreadsheets.
- Provides assistance for special projects as required.
- Orders all materials and equipment required by Building Services staff to continue services (e.g., building construction supplies, cleaning supplies, painting supplies, microwaves, refrigerators and other related materials and equipment).
- Initiates Purchase Requisitions/Purchase Orders in Workday and SAP.
- Acts as the initial point of contact for Building Services work ticket system in Samanage; prioritizes and assigns work as required.
- Coordinates all Building Services assets in MET team as required.
- Coordinates workspace moves for new hires and exits.
- Coordinates and schedules contracted services from various contractors (e.g., HVAC, Electrical, Security, Plumbing, Cleaning and Landscaping).
- Communicates facility information directly to all CSA Rexdale staff.
- Provides monthly Facilities expenses to Finance.
Qualifications
- Full Secondary School Diploma
- 3 years of experience working in Building Services
- Proficiency with MS Word, Access, Excel, PowerPoint; SAP; Adobe Acrobat
- PC usage is frequent and the incumbent must possess considerable knowledge and experience in operating software programs that require intermediate/advanced skills
