Your opportunity

Join a talented team who are passionate about education, and help the Ontario Institute for Studies in Education (OISE) support admissions for a diverse and inclusive student body. Reporting to the Director, Recruitment and Admissions, and working closely with colleagues across OISE, the Associate Registrar, Admissions, is responsible for implementing the admissions cycle for OISE, and for leading the admissions team to implement SGS and OISE admissions policies and services to applicants. All strategies will be informed by best practices, student voices and experiences, and data from surveys and other assessment tools. Your responsibilities will include
  • Leading and promoting the success of the ROSE Admissions team by: Planning and supervising the complex annual admissions cycle by managing the related activities such as organization of the application process including receipt, compilation and routing of applications and supporting documents, the assessment of applications which includes the evaluation of degrees, transcripts and other documentation for academic prerequisites and grade requirements, and incomplete file follow up
  • Determining logistical details required for the execution of admissions processes. Planning and implementing workflow for the unit, and making service adjustments to resolve issues as they arise
  • Fostering cooperative working relationships with a wide variety of internal and external contacts
  • Leveraging technology to enhance admissions efforts, including: contributing to the ongoing enhancement and efficiency of GradApp for OISE Admissions, reviewing admissions reports and making data‑driven recommendations concerning how the admissions team can best support OISE’s admissions plan
  • Maintaining accurate resource records for the admissions unit
  • Approving and/or writing routine documents and correspondence connected to the admissions cycle
  • Keeping well informed on University programs, policies and procedures, interpreting academic and degree requirements and regulations
  • Participating in admissions events and in escalated applicant service scenarios, including direct interaction with potential applicants, students, and others to advise on admissions criteria and processes
Essential Qualifications
  • Bachelor's Degree or acceptable combination of equivalent experience
  • Minimum of five (5) years of experience with increasing levels of responsibility in the areas of higher education enrollment management, admissions and/or registration, advising students, supervising staff and leadership of an administrative operation, preferably in a fast‑paced, post‑secondary setting
  • A proven track record of effective team management and change leadership resulting in improvements to service quality, staff productivity and systems efficiency is required
  • Strong knowledge of post‑secondary education systems
  • Good understanding of strategic enrolment management concepts and academic policies that contribute to a quality University experience
  • Knowledge of Canadian and foreign university grading practices, academic programs and other educational systems
  • Ability to create a positive, professional and welcoming environment for students, staff, faculty and visitors. Strong customer service orientation
  • Experience applying principles of equity and inclusion to all activities
  • Demonstrated experience at an intermediate level of Student information systems
  • Strong oral and written communication including written and statistical reports
  • Strong interpersonal skills and effective problem‑solving / conflict resolution skills

Assets (Nonessential)
  • Master's degree preferred
  • Knowledge of OISE Graduate Departments and School of Graduate Studies policies and procedures
  • Knowledge of enrolment management practices and financial aid experience is an asset
  • Past experience using GradApp (Slate) for admissions and student communications, ROSI
  • Familiar with data analysis and reporting tools used in admissions and enrolment management (Tableau, other comparable tool)
