Job description

The Administrative Assistant is responsible for supporting a growing team of financial advisors, working with branch personnel and head office and client centres to service current clients and onboard new clients.

Must be a strong multi-tasker with excellent communication skills and an upbeat attitude; professional and attentive, willing to meet each challenge directly, while also being detail oriented and accurate.

The successful candidate must be comfortable with mutual fund, segregated fund, GIC, and insurance products, and confident with computers. Strong verbal and written communication skills are a must.

Most importantly, the successful candidate must have strong work ethic and be willing to go the extra mile for the team and each client.

Main responsibilities
  • Answer and respond to phone calls and e-mail communications in a timely manner
  • Ensure satisfactory resolution of client inquires, coordinate responses with others as necessary
  • Prepare documentation for transactions (ex. Purchase, Redemption, Switch, and Transfers for mutual fund, segregated fund, and life insurance products)
  • Responsible for the completion of mutual fund, segregated Fund, and GIC trade processing by cut-off time
  • Conduct regular review of pending activity and outstanding business and escalate as required
  • Prioritize and organize workflow
  • Maintain Client Management Database
  • Support Team marketing initiatives with implementation and tracking as needed
  • Adhere to high service level standard
  • Work with Compliance to ensure regulations are followed
Qualifications
  • Position is in-office (Scarborough)
  • Post-secondary diploma or degree required
  • Experience in Financial Service industry preferred but not required
  • IFIC License and/or LLQP preferred but not required
  • Other combinations of qualifications and relevant experience may be considered
Specific knowledge
  • Very good knowledge of Investments products
  • Very good knowledge of the Microsoft Office 365 suite and solid computer skills
  • Strong written and verbal communication skills in English
