NorthWind is seeking a temporary, parttime Administrative Assistant to support our Edmonton Southside location. This role is ideal for someone who is organized, proactive, and naturally takes initiative, staying ahead of daytoday needs. The successful candidate will provide administrative support to the business and our team of environmental professionals while helping foster a positive, engaged company culture.

This position is 20 hours per week, with the flexibility to work additional hours when required.

Key Responsibilities
  • Provide administrative support to the CEO, Human Resources, and all teams, including research, data entry, and preparation of weekly/monthly reports.
  • Support recruitment activities such as applicant screening and interview scheduling.
  • Prepare, proofread, and manage documents and communications.
  • Maintain accurate and confidential personnel and data systems, ensuring information is consistently up to date.
  • Upload and maintain communications, presentations, and documents in company HRIS platforms.
  • Plan, coordinate, and communicate company events and social activities.
  • Actively contribute to building and promoting a positive, engaging company culture.
  • Maintain a professional presence across company social media and the corporate website (considered an asset).
  • Identify opportunities to streamline and automate administrative processes.
  • Liaise with the internal IT technician to troubleshoot routine issues.
  • Support records management, filing, and general office organization.
  • Answer, screen, and direct phone calls.
  • Ensure office and shared spaces remain tidy, organized, and properly stocked with supplies.
  • Provide administrative support to colleagues across other branches as required.
Qualifications & Skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams, Outlook).
  • Minimum 2 years’ experience in an administrative role.
  • High level of discretion with confidential information.
  • Event planning experience is an asset.
  • Strong communication, organizational, and timemanagement skills.
  • Excellent attention to detail, grammar, and document quality.
  • A collaborative, adaptable team player who is comfortable working with all levels of the organization.
  • Demonstrates initiative—anticipates needs, solves problems, and takes action without waiting for direction.
  • Ability to manage multiple tasks simultaneously and independently prioritize workload.
  • Comfortable working with minimal supervision in a fastpaced and changing environment.
  • Positive, professional, and approachable demeanor; contributes actively to team success and culture.
  • Valid Class 5 driver’s license.
  • Reliable and Punctual.
