The Administration Assistant contributes to the overall success of the Prairie Region – Canadian Banking by providing efficient and professional administrative support to the RVP and respective teams. This role is accountable for managing executives’ schedules including meetings and business events, arranging travel, submitting expenses, and providing other support as needed.

Is this role right for you?

In this role you will:

  • Champion a customer-focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
  • Provide high level administrative support requiring discretion, a good understanding of technical and business vocabulary, and a detailed knowledge of the Bank’s operations, procedures, and people.
  • Support the RVP in day-to-day management of their schedule by: establishing and coordinating calendars, anticipating scheduling conflicts and problems and recommending appropriate alternatives, establishing and maintaining a BF system
  • Organize meetings and conferences by proactively: assessing and seeking out the most appropriate venues for meetings based on size and type of attendees, arranging bookings for boardrooms and conference rooms, arranging for equipment and materials for meetings as appropriate, building relationships and meeting with outside service providers (conference centers, hotels, caterers, etc.), preparing invitations, booking travel arrangements
  • Support the Region with initiatives and communication by: summarizing performance results, supporting onboarding strategy for new employees and employees celebrating milestones, managing mailing and filing systems, as appropriate, composing correspondence for RVP signature, monitoring, ordering, and storing stationary supplies
  • Perform tasks and communicates using independent judgment; e.g, preparing documents and presentation materials, screening and responding to incoming correspondence, drafting communication and official information releases, arranging and attending meetings, taking and distributing meeting minutes.
  • Support a high-performance environment and people strategy that attracts, retains, develops and motivates by fostering an inclusive work environment and communicating vison/values/business strategy.
  • Work non-standard hours to support corporate meetings and events (on occasion)
