Administrative Assistant - Senior-Vice-President and Market Lead, Transportation

As part of your duties as an Administrative Assistant, you will be responsible for providing high-level administrative support to the Senior Vice President and Market Lead Transportation, as well as to members of his team. You will also be called upon to assist two executives in managing their expense accounts and coordinating their business travel arrangements.

To perform your role successfully, you'll undoubtedly need to be highly adaptable, enjoy taking action, be proactive, and be able to work independently with minimal supervision.

Your role within the team / Votre rôle dans l’équipe
  • Provide administrative and operational support to management, using excellent communication skills, judgment and discretion, and building relationships with internal and external partners;
  • Manage calendar and coordinate schedules, including coordinating meetings, organizing conference attendance and managing meeting logistics;
  • Prioritize emails and meetings using sound judgment and business acumen based on an understanding of group objectives, processes and schedules;
  • Develop forward agendas and create processes to ensure effective planning of all committees;
  • Prepare PowerPoint presentations and other documents for various internal and external meetings and committees;
  • Participate in the creation, revision and editing of communications and consolidate documents for executive committees, etc;
  • Liaise with various internal and external stakeholders and act as point of contact;
  • Coordinate travel arrangements and provide all required documents (itineraries, tickets, etc);
  • Lead project coordination for major events and meetings and participate in special projects;
  • Develop trusting relationships with employees, management and other colleagues;
  • Prepare, submit and track expense accounts in Concur and timesheets in Oracle.

  • Hold a degree in secretarial, administration or office management;
  • Has a minimum of five (5) years of relevant experience as an administrative/executive assistant to senior executives in a dynamic, professional and complex organization;
  • Is proficient in English and French (spoken and written)*
  • Proficient in MS Office (Teams, Outlook, Word, and PowerPoint), Concur and willing and able to adapt to new technologies and tools;
  • Ability to demonstrate a high degree of proactivity and responsiveness;
  • Ability to evolve in a fast-paced environment;
  • Ability to prioritize and multi-task;
  • Ability to work independently with minimal supervision;
