THE ROLE : The Perfect Mix between Strategy and Execution

We are seeking an exceptionally versatile professional based in São Paulo for a unique hybrid role: 50% Project Manager and 50% Event Producer.

We aren't just looking for a coordinator; we are looking for an "orchestrator." We need someone who is just as comfortable leading a kick-off meeting with high-level stakeholders and managing complex Gantt charts as they are being on-site with sleeves rolled up, solving last-minute logistical issues with local vendors in SP.

KEY RESPONSIBILITIES

The role is split equally between structured project management and executive event production.

As Project Manager (The 50% Strategic & Structural)

Comprehensive Planning : Lead the full lifecycle of multiple concurrent projects / events, from initial conception to closure and post-mortem analysis.

Rigorous Financial Management : Create, monitor, and own event budgets (P&L), ensuring maximum profitability and strict cost control without sacrificing quality.

Timelines & Risk Management : Develop detailed timelines and proactively manage risks, anticipating bottlenecks before they become problems.

Stakeholder Communication : Act as the primary point of contact for internal / external clients, ensuring expectations are aligned and communication flows clearly.

Reporting : Generate regular status reports and KPI dashboards for senior leadership.

As Event Producer (The 50% Creative & Operational)

LatAm Scope Execution : Design, plan, and manage the end-to-end execution of events across the Latin American region.

Vendor & Venue Management : Review and select locations. Manage the procurement process by obtaining multiple quotes, hiring event-specific vendors, and negotiating the best terms.

Content Support : Go beyond logistics by assisting clients with creative elements, such as writing or reviewing scripts for the events.

Take part in weekly status meetings.

Attend conferences, meetings, and industry events.

Attendee Experience : Ensure every touchpoint of the event journey (from registration to departure) is flawless and aligned with the brand.

Complex Logistics : Coordinate logistics for travel, accommodation, and agendas for speakers or VIPs when necessary.

IDEAL REQUIREMENTS (The "Unicorn" Profile)

Proven Hybrid Experience : Minimum of 5 years of demonstrable combined experience in BOTH project management AND production of small and medium scale corporate / experiential events.

Language Skills (Crucial for SP) :

Portuguese : Native or Bilingual (Essential for negotiating with local vendors in SP and running on-site operations).

English : Advanced / Fluent (C1+) (Essential for internal corporate communication, reporting, and international clients).

Spanish : Desirable / A plus.

Tools Proficiency :

Mastery of project management tools (Asana, Trello, Monday.com, Click Up or similar) and advanced Excel / Google Sheets for budgeting.

Soft Skills :

Excellent negotiation skills, high stress tolerance, ability to multitask, and a proactive "problem-solver" mindset.
