📌 Role Overview
The Administrative Trainee will be responsible for supporting the daily operations of the São Paulo office, ensuring that facilities, supplies, and services are always running smoothly. In addition, this role will provide direct administrative support to the Heads in logistics, travel arrangements, vendor coordination, and budget management.
A key part of this role is supporting the People team with translations, recruitment, internal communication, and participation in global projects such as performance review, learning, recruitment, culture workshops, etc. This is an ideal role for someone early in their career, highly organized, a strong communicator, and eager to learn.
🚀 Key Responsibilities
Office Management
- Assist with cleaning, organization, and general office maintenance activities.
- Support the control of office supplies (stationery, beverages, general items).
- Assist in reception activities and visitor registration.
- Help register and track mail and deliveries.
- Support coordination with cleaning, maintenance, and service providers under supervision.
- Assist in ensuring meeting rooms are prepared and functioning properly.
Support to Heads (Brazil)
- Assist with gathering quotes and basic vendor information, without conducting formal negotiations.
- Support travel logistics research (flight options, hotels, transportation), without making final decisions.
- Support basic expense tracking and organization of operational documentation.
People Support
- Translate People‑related documents into Portuguese, ensuring clarity and alignment with Osigu’s culture.
- Provide operational and administrative support in global People initiatives, including logistics coordination, basic internal communications, organization of materials, and assistance in activities related to Recruitment, Performance Review, Win It culture workshops, Learning, and other Global People programs.
- Keep the Brazil team informed about initiatives, processes, and key communications from the Global People team.
- Assist with logistics and cross‑functional administrative tasks for the People area.
General Administrative Tasks
- Assist with organizing invoices, receipts, and other administrative documents.
- Support agenda management and internal scheduling.
- Perform simple administrative tasks requested by different departments, always under supervision.

🎓 Requirements (Education)
- Student in Administration, Business Management, Public Relations, Tourism, Communications, or related fields.
- Previous experience in internships or administrative/reception/office support roles.

💼 Role Requirements
