Responsibilities:

  1. Maintain a Master Document Register (MDR) including drawings, specifications, procedures, and plans.
  2. Examine documents such as blueprints, drawings, change orders, and specifications to verify completeness and data accuracy.
  3. Follow up with stakeholders to monitor and ensure closure of documents as per schedule.
  4. Prepare and maintain a filing system on platforms like Aconex and SharePoint as per project requirements.
  5. Manage the flow of correspondence, ensuring accuracy, compliance, and confidentiality.
  6. Copy or scan materials; organize, maintain, and safeguard files and databases.
  7. Review and verify project documents for completeness and compliance.
  8. Submit documents for approval and transmit approved documents to clients.
  9. Distribute documents for review and comments, and track feedback.
  10. Liaise with engineers, managers, and stakeholders to discuss and modify documents.
  11. Update control records and notify relevant departments of changes.
  12. Support other departments within the project framework.

Qualifications:

  • Graduate in any discipline, preferably with a technical background.
  • Minimum of 3-8 years of experience in Document Control within engineering, manufacturing, or construction sectors.

Other skills:

  • Adaptability to various systems and procedures.
  • Effective verbal and written communication skills.
  • Proactive and able to work under tight deadlines.
  • Ability to manage document control independently.
  • Proficiency in MS Office tools: Word, Excel, PowerPoint, and document management systems like Aconex, SharePoint, etc.
